Census Date Applicable for eCAF Enrolment

A new field is added under TCSI >> TCSI Student Course Information >> eCAF for providers to record census date applicable for student enrolments.

 This field is added to allow for scenarios where the student is applying for a loan in the middle of the course enrolment where the earliest census date for the course enrolment or first semester has long passed.

This allows the users to record the census date as required and create an enrolment for the student in eCAF.

The following logic applies for census date management in the system for eCAF enrolments:

 The default value of census date is picked up from the first semester census date applicable for the student’s course enrolment from the Manage Calendar setup. This is the case when there is no subject enrolment for the student.

  • If the student has 1 or more subject enrolments, the system pulls the census date based on the earliest census date for the subjects.

  • However, in cases where the first or the earliest census date for the initial study period has passed, the user can record the census date under the new field “Census Date Applicable for eCAF Enrolment” and the system will use that census date to create enrolment in eCAF portal.

  The user does not need to record data in this field for every student as the system uses the above-mentioned logic to bring census date in the eCAF enrolment management grid.

 Note – Once the eCAF enrolment is created and the eCAF ID is imported back to the system, the census date recorded under this new field cannot be edited or removed.

 

The grid now shows distinct colours for Academic Suitability and Census Date values based on the source of data.

  • Currently, when census date is from Semester, the colour is blue, however black colour appears when the census date is sourced from the subject enrolments. Similarly, when census date is coming from user recorded value under the eCAF section, Green colour will be shown along with the message “Census Date is from Student eCAF Information”.

  •  Similarly, for Academic Suitability field, the default value is Year12Certificate. The value now appears in Blue colour and shows message as “This is a system default value” However, when the user has recorded a value under the eCAF information page, the value shows in Green and message as The value is from Student eCAF Information”.
