Create Email Template and Letter using TinyMCE

Introduction

The template editor in MeshedHE Platform has been improved to make it safer and easier to use. The FreeTextBox control has been replaced with TinyMCE, and all template content is automatically cleaned to improve security.

Menu Tabs

File

This tab allows you to create a new document, view your content (opens in a new window), and print.

 

Edit

This tab includes the following functions:

 

Note: Highlight the text before performing the above functions

View

This tab allows you to view the source code, preview the content, and switch to full screen mode.

Note: The old Freetext Editor used the term "HTML", which is now called "Source code (<>)" in TinyMCE. The "Edit raw HTML" function remains available in the new editor and serves the same purpose.


Insert

This tab allows you to upload images, attach links, insert tables, add special characters, and insert horizontal lines.

 

Format

This tab allows you to work with text formatting such as font size, style, colors, alignment, and spacing.

 

Tools

This tab allows you to view source code and word count.

 

Table

This tab allows you to insert and edit tables

 


Toolbar Icons

 

1. Undo / Redo

    Reverses your last action

  • Redo image-20260424-035641.png

    Reapplies an action you just undid.

Tip: Use Undo/Redo often while formatting, so you can quickly fix mistakes.

 

2. Text Style and Font

  • Choose Paragraph or Heading Style

    • Click inside the text.

    • Open the Paragraph / Heading dropdown in the toolbar

    • Select Paragraph for normal text or Heading levels for titles and sections.

 

 

  • Change Font and Size

    • Highlight the text

    • Choose a Font (e.g., “System Font”)

  • Choose a Font Size in points (pt), ranging from 8 to 72 pt

 

3. Text Color and Highlight

Text Color
Change the color of the selected text for example: red for warnings or blue for links

  • Change Text Color

    • Highlight the text

    • Click the Text Color icon

    • Choose a color

 

Highlight Color
Add a colored background behind the text to emphasize it.

  • Add Highlight Color

    • Highlight the text

    • Click the Highlight Color icon

    • Select a background color

Tip: Use color and highlight sparingly so your document stays easy to read.

 

4. Basic Text Formatting

  • Highlight the text and select Toolbar Icon:

    • BBold

    • IItalic

    • UUnderline

    • S – Strikethrough

    • – Superscript (e.g., 2², 1ˢᵗ)

    • X₂ – Subscript (e.g., H₂O)

 

  • Click Clear Formatting if you need to reset everything

     

  • Inserts Symbols and Special characters (e.g., ©, ®, ™, €, ✓) into your document by clicking this icon image-20260424-035058.png

 

  • Insert a Horizontal Line to separate content sections by clicking the Dash Icon

5. Alignment and Indentation

  • Highlight the paragraph or text

  • Use alignment icons:

    • image-20260424-035258.png Align Left - Lines up text with the left margin

    • image-20260424-035319.png Center - Centers the text

    • image-20260424-035333.png Align Right - Lines up text with the right margin

    • image-20260424-035350.png Justify - Aligns text evenly on both the left and right margin

 

  • Use indentation icons:

    • image-20260424-035528.png Decrease Indent – move text closer to the left margin

    • image-20260424-035541.png Increase Indent – move text further to the right

 

6. Lists

  • Highlight the lines you want to turn into a list (or place the cursor where the list should start)

  • Click:

    • Bulleted List – for unordered lists

    • Numbered List – for ordered, numbered steps

 

7. Table and Layout Tools

This icon manages tables and cell formatting

To insert a Table:

  • Click the Table icon

  • Choose the table size (e.g., 2 × 2)

  • Enter content into each cell

  • To adjust appearance, select Table Properties and change borders, colors, and spacing

Notes:

  • Formatting you set is preserved; new text may default to System Font in some cases.

  • This can happen when you click outside a table and press Enter to start a new paragraph.

To keep fonts consistent when working with tables:

  • After inserting a table, complete writing text inside it first.

  • When continuing below or above the table, reapply your preferred font to the new paragraph if needed.

  • If a consistent font is critical (e.g., for printed letters), review the saved template after reopening and adjust as necessary.

 

8. Link

    Add a hyperlink to selected text or an image. You can:

    • Link to a webpage (URL)

    • Link to another page or document

    • Link to an email address (mailto:)

    Inserts a marker inside the page so other links can jump directly to that section.

 

9. Add/Edit Image

This allows you to add an image or edit an existing one. You can add image in by Insert/Edit Image or Insert Image from the Gallery.

  • Click the Insert/Edit Image Icon

  • A new window opens:

  • Enter the Image Link in the source field

  • Add Description if applicable

  • Enter Width and Height

  • Click Save

  • Click the Insert Image from Gallery Icon

  • The ImageGalleryManager.aspx window opens

  • Browse or upload approved image files (.jpg, .jpeg, .png, .gif, .webp)

  • Select the image and click Insert

  • The image appears at the cursor position in the editor.

Add a folder

To add a folder to the Image Gallery:

  • Go to Folder Management

  • Enter Folder Name and click Create Folder

  • The new folder will appear below. You can add image/s to the folder.

  • To delete a folder, hold Ctrl and click the folder to select it, then click Delete Selected Folder

Upload Image

  • To upload an image to the gallery, click Choose File

  • Select the image from your desktop and click Upload

  • A notification will confirm the image uploaded successfully, and the image will display below.

  • To delete an image, select it and click Delete Selected Image

Note:

  • Most staff communication pages include a full editor with an image gallery.

  • Some pages (certain agent/student pages, agent feedback, student email to trainer) use a basic editor without an image gallery to prevent security issues.

 

10. Search and Review

  • Find and Replace (Ctrl + F)
    Look for specific words or phrases in the document

 

  • Preview
    Opens a new window that allows you to preview content with parameters

  • Full Screen
    Expands the editor to fill your screen so you can focus on writing and reviewing content

Parameter tokens are placeholders RTOManager replaces with actual data when generating letters and/or emails.

Inserting Tokens

  • Place the cursor where the personalized value should appear.

  • Use the token/parameter dropdown to select a parameter.

  • The token (e.g., {Name}) inserts into your template.

  • Click save and reopen to confirm the tokens remain visible.

Parameters and Reserved Characters

Parameters: The Predefined Template/Letter body can include parameters such as student first name, last name, date of birth (DOB), and student ID. These parameters automatically replace their values when sending the email or letter to the user.

Reserved Characters: The characters '{' and '}' are reserved in the template. If the template contains these symbols, the email will not send.

 

12. Save

Save your template or changes by clicking the Save icon

 

Important Note: FreeTextBox has been replaced with TinyMCE to enhance platform security, and as a result, existing templates may be affected. Providers MUST review their current templates and make any necessary adjustments to ensure they continue to display in their intended format.
