Student Profile Summary Action Icons - Part 3

Overview



Note: The actual Icons displayed will vary based on Student information and the Meshed Platform optional features and modules that are enabled

The following table includes the list of the icons together with their description.

Allows you to view and edit the Student profile.

Allows you the the ability to capture and manage Vaccination information for the Student

Allows you to send a SMS to the Student (if the SMS Optional Module is enabled).

Allows you to send an Email to the Student.

Allows you to generate and send a letter to the Student (using a template) for a selected Student course.

Allows you to view and edit the courses the Students is enrolled in. You can verify the offer and enrolment process has been completed, and to review and verify all documents.

This checklist allows you to check and verify all documents submitted.

Allows you to view and update the Student Enrolment information.

Allows you to defer (postpone) the enrolled courses for the Student.

Manage Student Course English Language testing and exemptions information (ESOS)

Allows you to perform an Online Class Enrolment for the Student. See Online Class Enrolment (Optional Module) for more information.

Allows you to apply intervention strategies to monitor and intervene with the Student during their course of study – e.g. Poor attendance - counselling to reduce absences, poor academic performance - counselling to secure better grades.

This allows you to keep track of all communication with the Student. Example: Student complaints, notes on progress or attendance.

Allows you to upload Student related documents such as offer letters, application, passport copy and other relevant documents.

Allows you to view and update the Student Scholarship information.

Allows you to view and add or make changes to the Student Payments.

Allows you upload a Student photo which is shown on the Student Profile Summary and used for the Student Identification card.

Allows you to generate the Student Identification card (PDF format)

Allows you to view and update the Student attendance.

Allows you to view the Student OSHC (Overseas Student Health Care) details.

Allows you to record Student Exit Interview details. This assists gathering of feedback which can be used for further improvement.

Allows you to add a 'sanction' for the Student. A sanction is created in order to restrict the Student logging in to the system on or after some defined date due for various reasons e.g. payment not made on due date and/or library book not being returned on time. The system will not allow the Student to log in to the system while the sanction is in place.

Allows you to view and edit Student Fee Help Information

Allows you to view and edit Student PIR Information

This is an optional icon which is related to CRM Lead Management and will only appear if the optional module is activated

A User shortcut to go directly to another Student profile by entering the Student ID.

Photo


This icon allows you to upload a Student photo which is displayed on the Student Profile Summary page and used when generating the Student Identification (I.D) card.


To upload photo, click Choose file and click upload (as shown below). 



The system will confirm once picture is uploaded successfully.



Student Card


This icon allows you to generate and download Student Identification card as shown below in PDF format. This can be printed for issue to the Student using any compatible ID card printer that takes input as PDF



Attendance


This icon allows you to view Student Attendance Summary.



There are 4 options to view the attendance:

  • View Full Attendance – this will show each session attendance based on timetable (for example each hourly or two-hourly attendance is shown as one record depends on the timetable setup). This information is recorded using the daily attendance entry page (Admin or Trainer portal)



  • View Attendance by Subject – A Student enrolled in Timetabled batch for a subject, the daily attendance hours are recorded for the class and the subject attendance are calculated and shown.



  • View attendance by Class Timetable – this is the detailed view of Student attendance summary per day and per week. This will show the total hours attendance per day (based on class timetable) and then weekly summary hours against the weekly class hours. Also other hours (such as e Learning hours or other activity hours) can also be entered here.
  • This interface shows the weekly attendance percentage, semester current attendance and projected attendance and also course current and projected attendance. This gives a clear indication of how the Student is tracking against their attendance weekly. Any holiday week and deferred weeks are also displayed on this page



  • View total attendance percentage – this section allows you to view the total attendance percentage by course and also allows users to generate an Attendance Certificate as setup in the system.



Overseas Student Health Cover (OSHC)


This icon allows you to view the Overseas Health Cover (OSHC) information of the Student if purchased. OSHC service can be set up on the system (Admin > Setup > OSHC Info)



  • The information for OSHC will appear here once you have entered the payment schedule against the Student under Miscellaneous payment type (OSHC)


 


  • Using this interface you can then update relevant information such as Card Arrived date, pickup date, remarks etc. The updated information can be viewed by Student in the Student Portal.

     

 


Interview


This icon allows you to record exit interview details when a Student decided to withdraw from a Course. This function is strictly for data recording purposes which can be used to analyse to understand attrition rates and other statistical information. To use this function, follow the instructions below:

  • Select Exit Type .


  • Enter comments on the field provided.
  • Select New  (if applicable)
  • Click Add Details to save information.


Sanction

A student sanction refers to a penalty or punishment that is imposed on a student for a violation of school rules, policies, or standards of conduct. Sanctions can range from minor consequences, such as a warning or a reprimand, to more severe consequences, such as suspension or expulsion. The purpose of sanctions is to promote accountability, deter future misconduct, and uphold the values and expectations of the education provider.

This icon allows for the management of Student Sanctions. A Sanction can be of an Academic or Payment type.

Once a Sanction is active a message will display when any Staff views the Student profile Summary page or the Student Payment Summary Page.

If the Student Portal (Optional Module) is enabled then the Student can optionally receive the message when logging in and/or have their Student Portal access disabled.

To use this function, follow the instructions below:

  • Select Type - Academic or payment
  • Enter Message in the field provided.
  • Select Set Active
  • If required deselect Add To Student Communication Log
  • If the Student Portal (Optional Module) is enabled:
    • If required select to Show Message to Student 
    • Select the date to Disable Student Portal From
  • Click Apply Sanction.


Fee Help

This icon allows you to view and edit Student Fee Help Information



PIR

This icon allows you to view and edit Student PIR Information.




Lead Activity

(Optional Module)


This icon leads you allows you to your CRM Activity page Activity refers to any activities like follow up, phone call, fax made to the leads with a view to convert the leads in to converted Student. You can only create activities for the existing leads.


Search


This icon provides a User shortcut to go directly to another Student profile by entering the Student ID.
