Major Enhancements

Advanced Standing

The Advanced Standing feature has been enhanced to Upload and Manage evidence related files.





The functionality to Upload and Manage evidence related files is available in:

  • Student Profile - Results - Advanced Standing



As part of our continuous Usability Improvements for Meshed Platforms, several of the columns in the Advance Standing Data table can now be filtered.

Communication Log - Bulk

The communication log functionality in Meshed Platform Communication Tools has been enhanced to give users the ability to bulk record entries for Students.   This is used in a similar way to the Mailing List bulk functionality.

The original functionality to record entries to the communication log for individual Students without having to go use the Student Profile page has been retained.

Minor Enhancements

Agent Commission

As part of our continuous Usability Improvements for Meshed Platforms, the functionality for Agent Commission Rate and Agent Commission Rate Setup in Bulk has been improved to sort the Agent information consistently.

Task Result Entry

As part of our continuous Usability Improvements for Meshed Platforms, the functionality for Assessment Task Result Entry has been improved to sort the Subjects using the Subject ID.  This has also been implemented for the Result Management functionality in the Teacher Portal (Optional Module).

NAB Payment Integration

The Meshed Platform can now be integrated with NAB to enable Students and Agents to pay fees online using the PayFee feature.  Please note this functionality is not automatically enabled so please contact our Support Team to discuss further.

Professional Development

The Professional Development feature has been enhanced to provide the ability to:

  • Customise values for the Professional Development Category in System Fields Setup

  • Filter Professional Development activity grid for columns; Category, Event Name, Organised By, Activity Name, Event Date

  • Verify Professional Development activity by Admin or DOS User roles.

  • View Professional Development activity in logs - staff_professionaldevelopment_log

  • Excel export option for Professional Development activity

  • Optionally upload Staff Photo (and signature)

  • Optionally enter Professional Development activity details in Teacher Portal (Optional Module)

New Features

Debitsuccess Integration



The Meshed Platform can now be integrated with Debitsuccess – a popular Direct Debit solution for Australian companies. The interchange of data between the Meshed Platform and Debitsuccess eliminates the need to double handle data.

The integration of Debitsuccess with the Meshed Platform allows for:

  • Creation of Debitsuccess customer accounts.

  • Setup of student payment details (Bank Account or Credit Card) in Debitsuccess.

  • Pushing Meshed Platform payment plans to Debitsuccess.

  • Settlement of successful Debitsuccess Direct Debit transactions in the Meshed Platform.

Meshed Group has developed the Debitsuccess console engine which can be run at desired intervals of time (daily, every 12 hours, every 2 hours, etc) to interchange data between two systems.

Canvas Integration

The Meshed Platform can now be integrated with Canvas – a popular cloud-based Learning Management System that makes teaching and learning easier. The interchange of data between the Meshed Platform and Canvas eliminates the need to double handle data.

The integration of Canvas with the Meshed Platform allows for:

  • Creation of Canvas user accounts when Students enrol in a course in the Meshed Platform.

  • Mapping of the Meshed Platform subjects and units to courses in Canvas.

  • Enrolment of Students to courses in Canvas when Students enrol subjects and units in the Meshed Platform.

  • Integration of Student final grades from Canvas to the Meshed Platform.

New Features

Active Directory Integration

The Meshed Platform now supports integration with a Providers Active Directory (AD) via the LDAP protocol. Creating a user account (Student or Staff) in the Meshed Platform will initiate the creation of the AD user account via the AD LDAP service.

Major Enhancements

Offer Document Checklist 

The Offer Document Checklist feature in Meshed RTOManager CRICOS allows users to define documents that applicants will be required to upload at the final step of the online application process. These documents should be defined to meet the requirements of the College's application process. Examples of documents are Birth Certificate, Passport, Academic Transcripts, etc.

The Offer Document Checklist feature has been enhanced to provide the ability to:

  • Define different documents for different student origins; Overseas (offshore) students, Overseas students in Australia (onshore), and Resident/domestic students.

  • Group documents for different process stages, such as 'In application', 'Post application', and 'Offer'.

  • Track documents with predefined status such as approved, pending, etc.

New Features

Meshed Mobility

We would like to introduce “Meshed Mobility”, our Student Portal Mobile App designed to work with Meshed Higher-ed platform and Meshed RTOManager CRICOS platform. The app is available for iOS and Android, and free to download from the Apple store or Google Play.

The Meshed Mobility App gives Students easy access to their information; Course details, Timetables, Results, Payment history, plus it makes general notices, messages, and warnings available directly on their smartphone.  We will be updating and adding more features to Meshed Mobility in the future. 





Once the student portal is enabled in your Meshed platform, you can request the activation of this feature free of charge via email to our Service Desk support@meshedgroup.com.au.

Xero Integration

The Meshed Platform can now be integrated with Xero – a popular accounting software commonly used by education institutions and organisations. The interchange of data between the Meshed Platform and Xero, using the Meshed Xero API Integration Module, eliminates the need to double handle data.
Integration provides the ability to sync financial information:

  • Invoices for Student fees can be managed and recorded within the Meshed Platform and exported to Xero.

  • Settled payments can be imported from Xero to the Meshed Platform to reconcile the transactions between the two platforms.

Major Enhancements

Agent Student List 

The Agent List (Marketing > View Agent List) has been improved to now display a window of Information for Students associated with each Agent listed.   The Student Information window is displayed by clicking an Action Icon, and the Student Information can also be exported to Excel.

Quarter 1, March 2018 Release Update V1.2

We are constantly finding ways to improve and increase our student management system's functionality to ensure that we deliver value for our clients. As such, we are pleased to advise that we have added  new features in the platform and also enhanced some features to provide better value.

1. Offer SMS List

We are pleased to advise that SMS sending facility has now been added to the Offer Stage to allow Admissions team to send SMS directly to Student Phone for the ones that are awaiting confirmation.

Major Compliance Enhancements

1. AVETMISS 8 Update for VET Providers

RTOManager CRICOS Platform has been updated to accommodate AVETMISS 8 requirements and required fields has been added or modified as per the new rules

Please see the AVETMISS 8 mapping Guide and AVETMISS National Reporting 8 Update in RTOManager CRICOS platform to review the changes and the updated rules for AVETMISS 8. Your 2017 data will be reported under AVETMISS 7 format and for 2018 onwards the reporting format will follow AVETMISS 8

2. State Specific Compliance Reporting Update 2018 for VET Providers

RTOManager CRICOS Platform has been updated to accommodate AVETMISS 8 for State Specific Compliance Reporting and required fields has been added or modified as required by each State.

New Feature Update Release

3. RTOManager Advanced Standing/Credit Feature

We are very pleased to announce that a new Advanced Credit feature has now been added to RTOManager CRICOS platform.

4. Agent Commission Feature Updates

RTOManager CRICOS Platform has been updated to simplify Agent commission set up process in Bulk and also have a new feature to allow Bulk Approve and Processing of Agent commission based on the date range.

This upgrade is to increase efficiency in agent commission management and processing.

5. ELICOS Teacher Portal enter Level Assessment in Bulk

RTOManager CRICOS Platform has been updated to allow entering the Level Assessment in Bulk from the Teacher Portal. This is to ensure that the Teacher are able to enter the Course Level Outcomes and then record for the Student in Class in Bulk and then Student Services will be able to Generate the ELICOS Level Certificates.

Please note this functionality is not automatically enabled and must be requested to our Support Team to enable.

 

6. ELICOS Application process enhancement to allow multiple attempt for Same Course

RTOManager CRICOS Platform has been updated to allow multiple attempt for the same course during the application process to allow Student to choose the course with breaks in between each course.

Please note this functionality is not automatically enabled and must be requested to our Support Team to enable.

This feature will ensure same course can be applied during the application stages with multiple attempt.

 

7. ELICOS Super Course and Sub Course Functionality

RTOManager CRICOS Platform has been updated to allow Super Course and Sub Course facility to better manage ELICOS Student enrolment. This allows Student to enrol in a particular Course with a longer duration COE and then can be enrolled in Sub Courses after the placement process. 

Please note this functionality is not automatically enabled and must be requested to our Support Team to enable.

8. Bulk Sanction Feature

RTOManager CRICOS Platform has been updated to allow recording of Sanction in Bulk for the Students. This feature will allow Finance Team to set up Bulk Sanction for group of Students.

9. Reports Sorting Feature

You can now sort your report results with the below parameters

  • Student ID

  • Name

  • First Name

  • Last Name

  • Course ID

  • Course Name

This option will only be visible when you have Student record information available in the Report Result.

We are very pleased to announce that we have released an Improved Version 2 of RTOManager CRICOS Online User Guide.

The purpose of this Online Guide is to not only provide you with the 'technical know how' on how to use and navigate  RTOManager student management system but also provide you with other industry information such as Compliance Reporting and other helpful information you might find useful in managing your educational institution. 

This guide contains all RTOManager Standard and Optional Modules as well as One page guides to assist users with easy to understand and easy to follow process flows thereby  enriching users'  knowledge to maximise systems' functionalities to meet business needs.

Lastly, we have also included social media links such as Twitter and LinkedIn to promote better client engagement.

2. Staff Professional Development Feature

To meet to the needs of education providers to ensure that their staff is up to date with their professional development, we have added a new feature in RTOManager system to allow  staff to record professional development activities on  teachers/ trainers  behalf. Now, Education providers can keep track of  the Continuous professional development activities completed by staff. This is only the first version and we are excited to advise that we are continuously working hard to make sure that this feature will deliver more value to your platform and to your business.

Major Enhancements

Course Promotion Feature

RTOManager has enhanced the way of how we manage course promotions in the student management system. Users may now set up Nationality group with a flexibility of grouping them per their region/ sub regions. They can also set up list of different promotions available and easily link it with the targeted group. To learn more, click here



Quarter 2, August 2017 Release Update V1.0


One of Meshed Group's commitment is to continuously improve our student management system and to constantly ensure that we meet our clients' evolving business needs.
We are pleased to advice that in the last few months, our team has been working tirelessly and has brought about 10 minor enhancements, 4 Major enhancements and is currently working on a number of upcoming new releases which includes introduction of Integration with Additional LMS System and Staff Professional development Feature management.

Minor Enhancements

  1. Leave info


We have made a few changes in the leave information feature. We have enhanced this feature to allow admin to view staff's leave information and generate a report in an Excel format.

 

  1. PRISMS validation


We've made some changes to the process of validating PRISMs data in RTOManager to simplify the process of validating your student data entered in the system with the data recorded in PRISMS. We have pre-set the parameters for comparison hence you can upload the PRISMs data and the system will compare it with the data in recorded in your RTOManager and highlight any anomalies or data inconsistency.
A step by step user guide has been created and is available on the Online Help icon on your RTOManager.

  1. Additional Custom Fields


Based from the feedbacks we received from our valued clients, we understand that most clients are required to capture unique data that may only be applicable to their organisation. Hence we have added 'Additional Custom fields' feature that will allow you to set up custom data field based on your business requirements. This feature allows you to create your field which can capture text data or selection of options or a field that requires numerical value. A step by step user guide has been created and is available on the Online Help icon on your RTOManager.

  1. Group Management – assign student Group V1


We have updated the interface of this feature to make it more user friendly. With our Intake Group version 1, it now provides users with a better search criteria and sorting feature to manage student list. Data can also be viewed easier with just two options – assigned and not assigned students.

 

 

  1. Provider Payment Allocation


To further support our clients in managing Provider payments in the system, we have made some improvements in the system to allow your accounts team to allocate payments received from students to their Service providers.

A step by step user guide has been created and is available on the Online Help icon on your RTOManager. 6. Predefined email – file attachment set up featureWe understand that some predefined emails in the system or what we call auto generated emails may require to include file attachments to ensure that complete information is sent to the intended receiver. As such, we have added a file attachment feature to allow our users to attach files as required.

 

  1. Student Communication Log – files are recorded


We have recognised the need to make sure that files that are attached in each communication log needs to be recorded as part of the communication record. We also understand the importance of capturing all data hence we have enhanced this feature to allow attachments/ files to be recorded.

  1. PIR (TESQA report) – For Higher Ed providers

 

 


From 1st January 2016, responsibility of the collection of Provider Information Request (PIR) has been transitioned to Department of Education and Training. The existing TEQSA template are replaced by 5 data submissions that will be reported by using HEPCAT.


To support this new change and ready for your August reporting deadline, PIR reporting feature is available in RTOM to allow users to export report files based on the new 5 data Submissions – PIR Student ( PSD), PIR Course of Study (PCO), PIR Past Course Completion (PPS), PIR Half year load estimation (PLE) and PIR Staff (PSF).

 


A step by step user guide has been created and is available on the Online Help icon on your RTOManager.

  1. User Log tracking


We have enhanced User log tracking by adding a User Activity IP Tracker. This feature now allows admin to view users who have accessed the system - the date/time they have logged in and what IP address they have used to log in.
We have also added search criteria using activity as a category to make it easier to track the activities users has been working on e.g. application, online test, Account login etc.

These information can be exported in an Excel format as required.


10. Intervention Enhancement


We understand the importance of offering support to students by providing measures in place whether it is academic or attendance related. Hence, we have enhanced this feature in the system to provide user an option to select multiple interventions and be able to add as many strategies in place to provide students with the support they may require. The enhancement also includes ability to export the intervention information in Word document and also allow teacher/ student services to send this intervention information to student via email.

Major Enhancements

  1. Student Portal App Version 2.0 

We are pleased to inform that Version 2 of our Student Portal  Mobile App's great new features has been received well by our valued clients. The latest feature updates has provided students with more flexibility in staying connected with their college/universities. Information such as course details, timetables, payment histories and latest updates are now available straight on their smartphones.  Click here for more information. 

  1. Service Management Module


We understand the need of organisations to provide the highest level of service to students and this includes providing options to students who may need additional services such as airport pick up service, accommodation or guardian service for overseas students,  assistance with Visa Processing and other services which provides convenience to your prospective students.

With this in mind, we have developed a simplified version of managing your additional services in RTOManager. Service Management starts from the Service, facilities and provider setup in the system, to adding additional services as required during offer/ enrolment stage and management of student and provider payments. A step by step guide has been created for your reference.

  1. Fee Help Module


To assist our Higher Ed clients in managing their students availing FEE Help assistance from the government, we have simplified the business process in 4 steps:

  • Enrol Eligible course for Fee Help

  • Enrolling Student Eligible for Fee help with Fee Help Scheme

  • Assigning Final Result to Fee Help enrolled Students

  • Fee Help related Reports reporting and Data validation using HEPCAT

  1. Pay Fees module – Integration of new providers


We understand the need of our clients to provide multiple payment options hence we have integrated our Pay fee feature with multiple payment gateway providers such as First Data, Commonwealth bank and Eway to name a few. Our enhanced interface also improve the look and feel of this function. We have also added the function of being able to generate pay fees report to help track payment activity.

Upcoming Releases

In keeping up with our momentum, we are pleased to inform that on top of all these enhancements, we are also working to add to our portfolio of value added features.

  1. Integration with Additional LMS


We are working towards making RTOManager integrated with additional LMS System providers. The addition to our list of LMS providers allows our clients greater flexibility in choosing which LMS they would like to integrate with their RTOM. Updates on this new release will be sent following the launch.

  1. Staff Professional Development Recording


You asked, we listened! We understand that Staff Professional development is very important and the need to ensure that colleges are on track of their staff development is one of the utmost priority.


Hence, we are delighted to advise that we have developed this feature to allow you to record your staff's professional development information which includes fields to capture data evidence, search option to search for your individual staff's accumulated CPD points and last but not least, we have added a new icon for trainer/ staff to view their list of workshops attended and shows the total CPD points. Updates on this new feature will be sent following the launch.
