Introduction

This menu allows you to set up Assessment Task for a particular class, for recording assessments outcomes and then allows entry of results for the task, and transfer the final grade of Subject/Unit accordingly.

Examples of Assessment Tasks are:

  • Assignments,
  • Exams,
  • Case Study 
  • Written Report
  • Class Presentation



Setup Assessment Task

To setup Assessment Tasks for Subjects:

  • Click Compliance > Academic Progress > Setup Assessment Task.



  • Select the Subject from the drop-down menu e.g. BM503 Human Resource
  • Select assessment Type e.g. Assessment, online test etc.
  • On the field provided, type in the Assessment Task description
  • Select Assessment Group e.g. A –D – Assessment grouping allows you to group different assessments so that the results are combined against the assessments
  • Tick Yes or No if this Assessment Task is used for Final outcome. Using for Final outcome will use it for calculation. You can not select this option for non accessible task.
  • Click Add.


Task release in days (From Class Start Date) refers the date when the Assessment Task will be released from class start date. e.g. If you enter 21 it means the Assessment Task will be available to view after 21 days from class start date. The default value of -1 sets it to class finish date.. 


Task Due in days (From Task Release Date) refers to the date when the Assessment Task will be due after it is released. e.g. If you enter 21 as Assessment Task release date and 14 as Assessment Task due date it means the Assessment Task will be available after 21 days from class start date for the Student to view, and will be due 14 days after it is released. The default value of -1 sets it to class finish date.


These are pre-setup values to enable the System to suggest the date to User when linking the Assessment Task with a Class. The User can change both suggested dates at this time if required.


List of the Assessments that have been setup for the selected subject will appear in the page as shown below.



While setting up the assessments, the option that is shown can be with marks or without marks. This is based on Grade setup (Admin > Configuration and Setup > Results Grade). If the Subject Grading type is setup as Competency Grading (grading without marks) then there will be no option to view marks. If marks grading setup then while assessments are setup for the grades then the Marks option will then be visible.




In above snapshot, you can see the Option to set up Total marks, pass mark and the assessment weighting.


Task Entry

(Setting up Assessment Marking & Weighting for study period)

This menu allows you to set up Assessment marking & Weighting for the study period. This is where the Assessment Tasks are linked to the particular Class (Batch), so that the Teacher/Trainer will be able to assign marks/outcome against the Assessment Tasks for the Students enrolled in the Class.


To set this up follow the instructions below:


  • Click Compliance > Academic Progress > task Entry
  • Enter your selection criteria e.g. Course Type , year, Semester, Subject, Class and Teacher. This will bring the list of classes that are created.



  • Once the subject/ group/ class was selected, Assessment Tasks assigned to the subject will appear on the page.
  • If no mark then you can simply add the Assessment Tasks which will link the assessment with the class.



  • If there are marks linked then you can manually enter the maximum marks – e.g. 100; Weighting, Pass marks. You can also update the due date and time as per screenshot below:



  • If an Assessor was selected for the timetabled class they can be set as the Teacher for the Assessment Task(s).   This will control Assessment tasks in Result Management that are visible in the Teacher Portal (Optional module).


 



  • Click the Green icon to add the selected subject Assessment Task. Confirmation message will appear to indicate the Assessment Task has been added in the system.
  • The new Assessment Task(s) will be included in the Assessment Task list for this Subject and Semester as shown below:






Task Result Entry

This section will allow to enter the Assessment Task outcome for the Students by Trainer using Trainer Portal or by Student Services Team using Staff Portal.
To enter Assessment Task results in the system, follow the instructions below:

  • Click Compliance > Academic Progress > Task Result Entry
  • Select Course Type
  • Select Year
  • Select Semester and Term
  • Select Subject (listed in order of Subject Code)
  • Select Class 
  • Click View Student List



  • Student are listed based on their Subject enrolment for the selected timetabled Class
  • List of current Students in this criteria will appear on the page.
  • Select Assessment Task
  • You may now enter their competency result e.g. competent( C) or not yet competent (NYC) and any comments you may have as shown below:




Note: The options available here are based on the setting or configuration. S (Satisfactory), NYS (Not Yet Satisfactory), C (Competent), NYC (Not Yet Competent) and NA (Not Attempted)

  • Teacher or Trainer may save the Assessment Result by clicking Update and Save Tab. Once save, the Student information will be marked green.



  • Director of Studies (DOS) or Academic Manager will then review the results and locks it by clicking Lock Assessment. Upon Locking the results Trainer will not be able to further modify the assessment outcome anymore. Once locked, confirmation message will appear as per below:

  • DOS will then finalise it by approving the assessment mark and clicking Approve Assessment. Approve Assessment process it to confirm the results that are entered by the Teacher/Trainer and to make it ready for finalising. A confirmation message will appear and the Approved box will be ticked as shown below:



Note the colour indicators highlighted below:
Orange – indicates that elements of unit if competency needs to be selected before entering marks
Green – indicates that student results entry exists for selected task
Red – indicates that status doesn't allows to change "Marks', Competency, and Comments.



The following tabs located at the bottom of the page has functionalities important in managing task results entry:

Function

Allows you to update and save Assessment marks

Allows you to lock Assessment mark so no one can make some changes. To change the outcome or mark it must be unlocked

Allows you to unlock the Assessment as required. It can be if student has requested for re mark, then you can change the marks to the new one.

Allows Director of Studies (DOS) or Academic Manager will need to review, finalise and approve the Assessment results. This button is displayed to the user based on Permission setup

If you have mistakenly entered incorrect Assessment marks, system allows you to reset Results entry and it will delete the previous marks in the system.

Allows you to transfer Assessment marks and results for the Subject and any linked Unit

Allows you to transfer results by Unit instead of Subjects. This is useful when there is cluster of units under one Subject but the result has to be transferred one unit at a time.

Transfer Result


Once all the Assessment marks have been approved by DOS or Academic Manager, results may now be transferred to the Subject. The system upon approved process automatically calculates the outcome based on linked Assessments and keep it ready to process/transfer result.

  • From the Task results entry page, click Go to Transfer Result tab



  • You will be directed to the Transfer Results page and you have a choice to go back to edit results entry page or get Temporary results to get ready for Transfer.






You can select the Student to finalise the results and then Click Transfer Result to finalise the result and transfer to Student Enrolment.



If any fees due you can select Result Withheld so the outcome would appear. Based on the marks and weighting System will calculate the marks and based on the marks grading will be suggested.


While transferring the Subject Result, you can also enter the Unit competency date to update if required



Transfer Result by Unit


This menu allows you to transfer the final results by Unit instead of by Subjects. The System calculates the temporary results based on the Assessment results entered and then provides the option to transfer to final result for multiple Students using a few clicks.



To manage this feature, follow the instructions below:

  • Click Compliance > Transfer Results by Units
  • Select the Subject and then select the Unit to get the final outcome calculated based on Unit and then transfer the result for each Unit or all Unit depending upon the requirements.



  • You can also view the Task Assessment result by clicking the icon
  • The below screenshot shows the list of Student Assessment Task results entered in the System




Bulk Result Entry

To bulk enter Assessment Task Results for ELICOS Courses.

Functional Overview:

  • Search and View a list of Students enrolled in a specific ELICOS Class (Year, Semester, Term, Subject).
  • The list of Students will contain all of the Assessment Tasks due for the selected week.
  • Student Results for all of the Assessment Tasks can be recorded in the list and updated (Bulk).
  • Student Results for all of the Assessment Tasks can be recorded and updated (Bulk) from the Teacher Portal (Optional Module).


To bulk enter ELICOS Assessment Task results in the system, follow the instructions below:

  • Click Compliance > Academic Progress > Bulk Result Entry
  • Course Type can only be ELICOS
  • Select Year
  • Select Semester and Term
  • Select Subject (listed in order of Subject Code)
  • Optionally Filter Class
  • Select Class 
  • Select Week
  • Click View Student List



  • Student are listed based on their Subject enrolment for the selected timetabled Class
  • List of current Students in this criteria will appear on the page.
  • All of the Assessment Tasks will be shown for each Student
  • You may now enter the Marks, Outcome and any comments.
  • Save the Assessment Result by clicking Update & Save. Once saved, the Student information will be marked green.



Once results are saved the same process as for Task Result Entry will apply.
