Availability
Access to the Meshed Visa Check Integration is available for existing clients using the Meshed RTOManager platform. To enable this integration, clients must complete and sign the Meshed Visa Check Integration Agreement.
Access is governed by the End User License Agreement (EULA) for the relevant Meshed platform, as well as the Terms and Conditions specified in the Meshed Visa Check Integration Agreement.
Clients will also need an ImmiAccount with access to the Visa Entitlement Verification Online (VEVO) service and must provide the necessary login credentials to facilitate access to their ImmiAccount for visa checks.
Security and Compliance
The Meshed Visa Check Integration incorporates robust security features and compliance measures to ensure the safe handling of sensitive visa and personal data.
vSure securely integrates with the Australian Department of Home Affairs' Visa Entitlement Verification Online (VEVO) service for visa checks and undergoes regular security audits to stay protected against new threats.
Education providers also retain control over their ImmiAccount data access, ensuring compliance with data sharing agreements.
Tiers
The following tier options are available for monthly visa check limits. On the 1st day of each month, the visa check count resets, and unused visa checks do not carry over. There is no accumulation of unused visa checks from month to month.

Configuration
To perform visa checks, the Meshed Visa Check Integration requires the login credentials needed to access the education provider's ImmiAccount. This information is securely configured within the Meshed Platform. Access to these credentials can be controlled through the platform's User Roles and Responsibilities feature, ensuring that only authorised SAdmin users can access and manage the ImmiAccount login credentials.
Visa Check Configuration
Follow the steps below to set up or update your Visa Check Configuration.
Navigate to Admin > Configuration and Setup > Visa Check Configuration. This screen allows you to configure the ImmiAccount details for the Visa Check Service powered by vSure.
ImmiAccount Details
Username:
Enter the username associated with your ImmiAccount in the "Username" field.Password:
Enter the password for your ImmiAccount in the "Password" field. If you want to see the password as you type, check the Show password box. Unchecking this box will hide the password.Agree to Terms and Conditions:
Before proceeding, click the checkbox to agree to the Terms and Conditions of VEVO Use By Organisations. You can view the terms by clicking the hyperlink provided.
Save or Reset Details
After entering your ImmiAccount details, click Save Details to store the information.
If you need to clear the fields and start over, click Reset Details.
Visa Check Service
The Visa Check Service is powered by vSure. You can view more information about the service by clicking the Powered by vSure link at the bottom of the form.
Multiple Visa Checks
Visa check functionality is available within the Offer Management section of the Meshed Platform, enabling the management of international applicants and students. Visa checks can be performed in bulk for multiple applicants and students, streamlining the verification process.
Tier Information
Navigate to Offers > Visa Check.
You can show or hide this information by clicking the triangle control at the top of the section.
This section provides details about your current Visa Check Tier, the number of Visa Checks performed, and the date of the next reset.
Your Tier
Displays your subscription level for Visa Checks. For example, Free (10) Per Month indicates the maximum number of Visa Checks you can perform each month.
Visa Checks
Shows the number of Visa Checks performed during the current period (not the number remaining). The guidelines for how this count increases can be found here.
Next Reset
Indicates the date when your Visa Check usage will reset. Each month, the Visa Check count will reset according to your tier limit.
Additional Information
Note: The Visa Check count includes both initial checks and any re-checks of previously checked visas.

Search for applicants and students
Follow the steps below to filter and view visa status information for multiple applicants and students.
Navigate to Offers > Visa Check. This screen allows users to filter, search, and perform visa checks on records.
Filters
You can refine your search by applying the following filters:
Campus Filter:
Select a campus from the dropdown list to filter results based on a specific campus. To view results from all campuses, choose the default option --All Campus--. Note this filter is only available if the Multi Campus optional module is enabled in your Meshed Platform.Visa Check Status Filter:
Use this filter to narrow down results by visa check status. Options include:All: View all applicant and student records, displaying whether their visa check is completed, pending, not yet checked, or has failed.
Not Checked: View records of applicants and students whose visas have not yet been checked.
Completed: View records of applicants and students whose visas have been checked. The outcome of a completed visa check may be a valid visa, invalid visa, or an error.
Failure: View records of applicants and students whose visa check has failed due to incorrect credentials recorded in the Meshed Platform.
Request Sent: View records of applicants and students for whom a visa check request has been sent, but the outcome has not yet been received.

Resident (Domestic) students and applicants are not included in the search results.

Search Results
Once the search has been completed and the desired filters applied and the screen displays the results. The table provides detailed information about each applicant or student visa status.
Table Columns
Each row in the table represents information for a student or applicant. The columns contain the following details:

Student ID | The unique ID of the student. |
Offer No | The number associated with the applicant offer. |
Title | The student or applicant title (Mr, Ms, etc.). |

DOB | The student or applicant date of birth. |
Gender | The student or applicant gender. |
Origin | The student or applicant origin (e.g., Overseas Student). |
Passport No | The student or applicant passport number. |
Issuing Country | The country that issued the student or applicant passport. |
Passport Expiry | The expiry date of the student or applicant passport (highlighted in red if expired). |
Visa Type | The type of visa held by the student or applicant. |
Visa Expiry | The date the student or applicant visa expires. |
Visa Check Status | The status of the visa check (e.g., Completed). Click here for more information. |
Last Checked | The date and time the visa was last checked. |
Response Code | Displays the result code of the visa check (e.g., SUCCESS, VEVO_PERSON_NOT_FOUND). Click here for more information. |
Response Detail | Additional details or error messages (e.g., "Visa check successful" or "VEVO cannot identify the person"). Click here for more information. |
History Action Icon | View the Visa Check history for the student or applicant. Click here for more information. |
Select All/Select Specific Records
Use the checkboxes on the left to select multiple student and/or applicant records or check the Select All box to select every record on the current page.
Check Visa
After selecting records, click the Check Visa button (with the green checkmark) to initiate a visa check for the selected applicants and/or students.
The system will verify if your current Tier has enough available Visa Checks for the number of selected students and/or applicants. If there are insufficient Visa Checks, you will be notified.
Click Confirm to proceed with Visa Check for the selected applicants and/or students.
The information for each selected applicant and/or student is updated in the table.
Visa Check History
Click the History Action Icon in the right most column of the table to view the Visa Check History detailed information for the student or applicant.
Refresh Status
Visa Checks for applicants or students with a status of Request Sent (indicating that the Meshed Platform has not yet received a response) can be refreshed to update the information.
Follow the steps below to filter and view visa information for multiple applicants and students with a status of Request Sent.
Navigate to Offers > Visa Check
Use the Visa Check Status Filter to narrow down results by Request Sent status.
Click the search button to view matching records.
Use the checkboxes on the left to select multiple student and/or applicant records or check the Select All box to select every record on the current page.
After selecting records, click the Refresh Status button to initiate a refresh for the selected applicants and/or students.
The information for each selected applicant and/or student is updated in the table.
Individual Visa Checks
Visa check functionality is available within the Offer Management and Student Management sections of the Meshed Platform, enabling the management of international applicants and students. Visa checks can be performed for individual applicants and student streamlining the verification process.
Individual Applicants
Follow the steps below to view visa status information for an applicant.
Navigate to Offers > Offers Manage > Click Application Details Icon for the applicant.
The Student Profile section on this screen shows the Visa Type information displayed.
The Visa Type information also includes a clickable Status Icon with a Tool Tip.
The Status Icon can have one of the following statuses:

Follow the steps below to view visa status information for a student.
Navigate to Student > Search For Students > Click Student Profile Icon for the student.
The Applicant Profile section on this screen shows the Visa Type information displayed.
The Visa Type information also includes a clickable Status Icon with a Tool Tip.

Visa Check Status
The Meshed Visa Check Integration uses 'fastcheck' mode, where visa checks are processed in the background and take several steps to complete. Because of this, it’s essential to verify the status of a visa check before acting on the returned information.
A visa check can have one of the following statuses:
Status | Description |
---|---|
Request Sent | The Meshed Platform has not yet received a response from the visa check. You can use the Refresh Status function to update the status once the response has been received. |
Not Checked | A visa check has not been performed |
Pending | Most common for newly created visa checks, and no result is available yet |
Completed | A visa check was returned successfully; Important: It does not mean the visa is 'valid'. Refer to the Visa Check Response for further detail. |
Failure | A visa check could not be returned successfully. |
Expired | The visa check was previously attempted and has since been removed by vSure's data retention policy. |
Purged | The visa check was previously attempted and has since been removed by the integration. |
Visa Check Response
When a visa check is performed, the Meshed Platform receives a response that includes both a Response Code and Response Detail. This information is used alongside the visa check status to provide a complete overview of the visa check result.
A visa check can have one of the following responses:

VEVO_LOGIN_ERROR | Unable to login to VEVO because of incorrect credentials | The provided ImmiAccount credentials do not match, or the password may have expired. |
VEVO_PERSON_NOT_FOUND | VEVO cannot identify the person | Some of the provided details (first name, last name, passport number, date of birth, or country) are incorrect. |
SUCCESS | Visa check is successful | The visa check returned the visa details as provided by the Visa Entitlement Verification Online (VEVO) service. |
Request Sent | Â | The Meshed Platform has not yet received a response from the visa check. |
Visa Checks Count
The Meshed Platform tracks the number of Visa Checks performed to monitor when the monthly Tier Visa Check limit is reached.
The following rules apply to how the Visa Check count is adjusted:
The count increases for any re-checks of previously checked visas.
The count increases for each Visa Check with a response code of ‘SUCCESS’.
The count increases for each Visa Check with a response code of ‘Request Sent’.
The count does not increase for Visa Checks with a response code of ‘VEVO_ACCOUNT_NO_ACCESS’.
The count does not increase for Visa Checks with a response code of ‘VEVO_LOGIN_ERROR’.
The count does not increase for Visa Checks with a response code of ‘VEVO_PERSON_NOT_FOUND’.

The Meshed Platform offers a set of predefined reports that are systematically grouped into categories and can be exported in Excel-compatible formats for easy analysis.
