Overview
This menu allows Super administrators to allow more permission to view or deny access to selected pages or functions on top of the default role access and features.
Further information can be found in the Set Up permission Quick Guide document.
Setup Permission
To setup permissions, you have to first set up the permission linking with a particular role and then later allocate or assign the users to that permission.
To perform this function, follow the instructions below:
- On your RTOManager, Click Admin > Setup permission
Note: Super Administrators (SAdmins) has the right to use this function.
- Select Role type from the drop down menu.
- Type in Staff name on the field available
- Click View.
- Tick the permission box applicable and click this icon to update permission setup.
Note: A pop up message will appear to confirm permission setup update
Permissions
The following table provides information for each of the Permissions that are available.

Activate/Deactivate Staff/Teacher Comm Log | Allows user to activate or deactivate staff/teacher communication log |
Activate/Deactivate Student Comm Log | Allows user to activate or deactivate student communication log for both student communication log and communication log with search. |
Allow staff to delete record in student intervention register | Permitted staff will have option to delete record from student intervention register |
Allow staff to do CRM admin task (Assign Staff, Setup, Monthly Target) | Allow marketing staff to do CRM admin task |
Allow staff to enrol student into subject without checking Pre Requisite Subject completion | Permitted staff will be able to do individual enrolment into subject without checking whether student has completed pre requisite subject |
Allow staff to view online test results | Allows permitted user to view online test results. Admin and sadmin staff can view test results from Admin tab |
Allow Staff to View/Update Student Tax File Number (TFN) | Allows user to view and edit/update the student tax file number (TFN). |
Allow to delete student results if attendance exists | Allows user to delete student results even if attendance records exist for the selected subject enrolment. |
Allow to Modify Schedule Invoice | Allows user to modify payment schedule/invoices within the system |
Allow to Send SMS | Set the specific user roles to be able to use and send SMS from the system. By default, allow all accessible staff to be able to send SMS, if no setup this permission into your system. |
Allow to update student course info (override) | Allows user to update student course details even though student subject enrolment duration does not fall between student course duration. Otherwise it will be restricted |
Allow to Update Subject Outcome for Withdrawn/Cancelled Course | Allows user to update student results for status that are generally restricted. Override permission. |
Approve Assessment | On assessment management, after entering the assessment outcome by trainers/admin staff, they are required to be Approved (generally by Academic Manager or Director of Studies). This permission allows user to approve assessment. |
Approve Trainer Timesheet | Allows supervisor to approve teacher timesheet as per this permission |
Certificate Generation | Specifies where staff can view and generate certificate/statement and attainment/transcript. Can preview or generate in pdf. Sadmin user role will be able to view regardless of this permission. |
Delete Student Account | Allows user to delete student details (in cases where there were wrong student moved to student section or to delete test student details). Once student records is deleted, they are then moved to offer section (if previously they were generated after creating an offer) |
Deny Attendance Entry | Restrict assigned user to record student daily attendance and work placement attendance. But user can view attendance |
Deny Attendance View | Restrict assigned user to view student daily attendance. Student cannot see their attendance details in their student portal. This permission also applies to teacher portal |
Deny staff to add student subject enrolment | Restrict user to record student class enrolment. Restricted in student subject enrolment, group enrolment and bulk enrolment |
Deny staff to update student course info | Restrict user to add or update student course info. But user can view student course info |
Deny staff to update student profile info | Restricts user to update student profile info e.g. Student details, address info, previous study or employment info |
Deny staff to update/delete student results | Restrict users to update/ delete student subject enrolment info. User cannot have access to view/update academic progress under compliance. |
Deny staff to view agent commission | Restrict users to view agent commission page under marketing tab |
Deny staff to view student profile letter | Restrict user to generate/send warning letter from student profile summary page |
Deny Student Email Feedback | Removes the facility in Student Portal to send email to college but still can send email to teacher ( according to the class enrolled) |
Deny Student to Update Address | Student can only view address details but unable to update in Student Portal. |
Deny Student to View Attendance | Not allow student to view attendance details in the Student portal |
Generate Bulk Certificate | Allows user to view the related menu (Generate Bulk Certificate) under compliance and can generate bulk certificate (certificate for multiple students) |
Generate Invoice | Allow users who have access to Offer tab to be able to access the Generate Invoice menu to create invoices (tuition and miscellaneous) |
Modify Agent Comm Log | Allows user to see update icon for agent communication log diary and are able to edit the log |
Modify Student Comm Log | Allows user to see update icon for student communication log diary and are able to edit the log. |
Modify Transaction | Allows user to modify the transaction details (under Account menu) |
Disable Student Payment Section | Allows user to process student payment only which is record transaction against student invoice. |
Disable Agent Payment Section | Allows user to record student payment which is record transaction against student invoice. |
Process Trainer Timesheet | Can view or process teacher timesheet. Timesheet can only be processed after approval. |
Redirect staff to CRM dash board after login | Once staff logged in, redirects to CRM dashboard instead of staff home page |
Setup Letter and Email Template | Allows user to set up email template or mail merge letter template within the system. Feature menu is visible under Reports menu tab. |
Student Sanction | Allows user to apply student sanction in student profile summary or in payment summary page |
USI Process/Generation | Specifies which staff/role can view and process/generate student USI. By default, all Sadmin user can access without set this permission. The feature contains student confidential personal information. So keep in mind that only specific designated person should be able to do this task. |
View CRM Dashboard | Allow user to access and view CRM dash board |
View Transcript | permission when allocated to Staff only allows preview transcript but not generate the transcript document. |
Page Permission
Page permission are different to earlier permission as this provides a facility to control the Agent Portal or Student Portal by SAdmin user.
Note that this a system –wise permission. With this option, you can select the permission and hide pages from Agent or Student Portal as per your requirements. This option allows you to better manage what the external users will be able to view with their login. To manage this function, follow the instructions below:
1. On your RTOManager, Click Admin > Setup Permission > Page Permission
- Select Permission name from the drop down menu.
- Select permission type –e.g. System or role (roles are limited to student and agent portal only).
- Click Apply Permission.
Note: The page permission you have set up will appear at the bottom of the page. As per example below, permission has been set up to Deny agent to upload ECoE or additional documents. You may update permission by clicking edit/ delete icon .
