Academic Progress

Introduction

This menu allows you to set up assessment task for a particular class, particularly for recording assessments outcomes (e.g. assignments, exams, case study etc.) and then allows to enter results for the task and transfer the final grade of Subject accordingly.


To manage this function, follow the instructions below:

Setup AssessmentTtask

  • Navigate to Compliance > Academic progress > Setup Assessment Task.



  • Select the Subject from the drop-down menu 
  • Select assessment Type e.g. Assessment, online test etc.
  • On the field provided, type in the Assessment Task description
  • Select Assessment group e.g. A –D – Assessment Grouping allows you to group different assessments so that the results are combined against the assessments
  • Tick Yes or No if this assessment is used for Final outcome. Using for Final outcome will use it for calculation. You can not select this option for non accessible task.
  • Click Add.


Note: List of the Assessments that have been set up will appear in the page as shown below.



While setting up Assessments, the option that is shown can be with marks or without marks. This is based on Grade setup (Admin > Configuration and Setup > Result Grade). If the Subject Grading type is setup as Competency Grading (grading without marks) then there will be no option to view marks. If marks grading setup then while assessments are setup for the grades then the Marks option will then be visible as shown below.





Task Release in Days (From Class Start Date) refers the date when the task will be released from Class Start Date. E.g. If you enter 21 it means task will be available to view 21 days after the Class Start Date. -1 refers to Class Finish Date.


Task Due in Days (From Task Release Date) refers to the date when task will be due after it is released. E.g. If you enter 21 as task release date and 14 as task due date it means the Task will be released for Students to view 21 days after the class start date and will be due 14 days after then. 


These are pre setup values to enable the system to suggest dates to the user.  These dates can be changed by the user if required during Task Entry.


Task Entry

(Setting up Assessment Marking & Weighting for study period)

This menu allows you to set up Assessment marking & Weighting for the study period. This is where the Assessments are linked to the particular class or batch, so that the Teacher/Trainer will be able to then assign marks/outcome against the Tasks for the Students enrolled in that class.


To set this up follow the instructions below:

  • Click ComplianceAcademic Progress > task Entry
  • Select Course Type
  • Select Year
  • Select Semester 
  • Select Subject (listed in order of Subject Code)
  • Select Class
  • Select Teacher. This will bring the list of classes that are created.



  • Once the subject/ group/ class are selected, Task assigned to the subject will appear on the page.
  • If no mark then you can add the assessments which will link the assessment with the class.



  • If there are marks linked then you can manually enter the maximum marks – e.g. 100; Weighting, Pass marks. You can also update the Release Date/time and the Due Date/time as shown below:



  • Click the Green icon to add the selected subject task. Confirmation message will appear to indicate task has been added in the system.
  • The new task/s will be included in the Assessments list for this subject and semester as shown below:




Task Result Entry

This section will allow to enter the assessment outcome for the Students by Trainer using Trainer Portal or by Student Services Team using Staff Portal.
To enter task results in the system, follow the instructions below:

  • Navigate to Compliance > Academic Progress > Task Result Entry
  • On the search criteria, enter Course Type, Year, Semester, Subject, class
  • Click View Student List



  • Student are listed based on their Subject enrolment for the selected timetabled Class
  • List of current Students in this criteria will appear on the page.
  • You may now enter their result and any comments you may have as shown below:




  • Teacher or Trainer may save the assessment by clicking Update and Save.
  • Once saved, the Student information will be marked green.



  • Director of Studies (DOS) or Academic Manager will then review the results and locks it by clicking Lock Assessment. Upon Locking the results Trainer will not be able to further modify the assessment outcome anymore.
  • Once locked, confirmation message will appear as per below:

  • DOS will then finalise it by approving the assessment mark and clicking Approve Assessment. Approve Assessment process it to confirm the results that are entered by the Teacher/Trainer and to make it ready for finalising.
  • A confirmation message will appear and the Approved box will be ticked:



Note the colour indicators highlighted below:
Green – indicates that student results entry exists for selected task
Red – indicates that status doesn't allows to change "Marks', and Comments.



The following buttons located at the bottom of the page have functionalities important in managing task results entry:

Allows you to update and save Assessment marks

Allows you to lock Assessment marks so no one can make some changes. To change the outcome or mark it must be unlocked

Allows you to unlock the Assessment as required. It can be if student has requested for re mark, then you can change the marks to the new one.

Allows Director of Studies (DOS) or Academic Manager to review, finalise and approve the assessment results. This button is displayed to the user based on Permission setup

If you have entered incorrect Assessment marks by mistake, system can allow you to reset Results entry and it will delete the previous marks in the system.

Allows you to transfer Assessment marks and results for the Subject 

Transfer Result


Once all the assessment marks has been approved by DOS or Academic Manager, results may now be transferred to the subject. The system upon approved process does automatically calculated the outcome based on linked assessments and keep it ready to process/transfer result.


  • From the Task results entry page, click Go to Transfer Result
  • You will be directed to the Transfer Results page and you have a choice to go back to edit results entry page or get Temporary results to get ready for Transfer.





You can select the Student to finalise the results and then Click Transfer Result to finalise the result and transfer to Student Enrolment.



The Result Release Date configured for the Semester determines when Student Subject and Assessment Task results will be made available to to Students in the Student Portal and the Meshed Mobile app.

The Result Release Date for the Semester is configured in Admin > Manage Calendar > Manage Semester



Import Assessment Result



  • Navigate to Compliance > Academic progress > Import Assessment Result.



Download Assessment Template


  • There are two options to download the template: Assessment Template (Blank) and Assessment Template (Data).



  •  Assessment Template (Blank) has the column headers only. An excel sheet (xlsx) will be downloaded with no data in it. This option requires manual entry of data for all the fields for all records required in the template.



  • Assessment Template (Data) contains the additional filters to select the Year, Semester & term, Subject, Class, and Assessment task.



  • There are further dropdown options for the above filters to browse for all or the selected options.
  • For the “class” filter, an additional option to select “all” classes for the selected subject is also available.
  • User will be able to download the template based on the filters. An excel sheet (xlsx) will be downloaded with the data in it.



  • Enter the data into the template and save the file.
    • The template from the Meshed Platform must be used to import the assessment results. If any other files with other column headers are used, the import will not work.
    • Assessment names should exactly match the setup in the Meshed Platform. If not, it will cause errors, or the results may not be recorded correctly.
    • Course Attempt column in the templates will need to match the Course Attempt value in the Meshed Platform. If this does not match, the unmatched record will cause an error, while the remaining matched records will be imported.


Upload Assessment Template


  • Choose the template file to upload
  • Click Upload and the data will be displayed



  • If there are any issues in the data or the file, the system displays relevant remarks



Import and Update


  • Click Import and Update 



  • Click Download Report to export information related to the Import and update.



  • The assessment results are directly updated for each Student.







Import Subject Outcome



  • Navigate to Compliance > Academic progress > Import Subject Outcome.



Download Outcome Template


  • There are two options to download the template: Outcome Template (Blank) and Outcome Template (Data).



  • Outcome Template (Blank) has the column headers only. An excel sheet (xlsx) will be downloaded with no data in it. This option requires manual entry of data for all the fields for all records required in the template.



  • Outcome Template (Data) contains the additional filters to select the year, Semester & term, and Subject.



  • There are further dropdown options for the above filters to browse for all or the selected options.
  • Blank has the column headers only. Template with Data contains the additional filters to select the year, Semester & term, and Subject.
  • User can select the filters and browse for the respective semester and subject.
  • User will be able to download the template based on the filters. An excel sheet (xlsx) will be downloaded with the data in it.



  • Enter the data into the template and save the file.
    • The template from the Meshed Platform must be used to import the subject outcome. If any other files with other column headers are used, the import will not work.
    • Subject names should exactly match the setup in the Meshed Platform. If not, it will cause errors, or the results may not be transferred correctly.
    • Course Attempt column in the templates will need to match the Course Attempt value in the Meshed Platform. If this does not match, the unmatched record will cause an error, while the remaining matched records will be imported.
