Manage Staff Details

From this menu you can add, delete, edit and view staff for your college.

5.1 Add Staff


To add staff, follow the instructions below:
5.1.1Once you have logged in to RTOmanager,
Click Staff>Add Staff as shown in figure 5.1a

      1. Enter all the staff details for e.g. Personal Information, Employment Information and Staff Role and System Access Information in figure 5.1a which should now appear as shown in figure 5.1b.

In figure 5.1b under Staff Role & System Access Information Security question and answer will help you to recover your password in case you forget your password.
Finally click . User name & password will automatically be mailed to the user's email address. A confirmation message in green also confirms that the user name has been created successfully as shown by arrow 11 in figure 5.1c.

5.2 View Staff List

      1. Once you have logged in to RTOmanager,

Click Staff>View Staff as shown in figure 5.2a. By default the list all staff appears as shown in figure 5.2a

To search any staff, select your Search By criteria from the drop down menu and its relevant value

5.3 View/Edit Staff Profile

From this menu you can view/edit your staff profile.
To do this, follow the instructions below:
5.3.1Once you have logged in to RTOmanager,
Click Staff as shown in figure 5.3a. By default the list of all staff appears as shown in figure 5.3a

5.3.2Find the staff whose profile you want to view/edit for e.g. Johny Smith as figure 5.3a. Click icon to edit the staff profile. You will go to the page as shown in figure 5.3b

5.3.3Edit/change any information as per your requirement and click .
Message in green as shown in figure 5.3c confirms that your staff information has been updated successfully.

5.4 View/Upload/Download Staff Documents

You can view/upload/download staff documents and manage documents electronically eliminating hassles of managing hard copy documents.
To do this, follow the instructions below:
5.4.1Once you have logged in to RTOmanager,
Click Staff as shown in figure 5.4a. By default the list of all staff appears as shown in figure 5.4a

5.3.2Find the staff whose document you want to View/upload for e.g. Johny Smith as shown in figure 5.4a. Click icon marked by red circle in figure 5.4a. You will go to the page as shown in figure 5.4b

5.3.3Click Choose File and select the file to upload.
5.3.4Finally click . Your uploaded file will now appear as shown within red boxed area in figure 5.4d.

Please note that you can edit/delete the file by clicking / as shown in above in figure 5.4c. You can download the staff's file/documents by just clicking the document link as shown within red boxed area in figure 5.4c
You can create a folder to upload documents into by simply specify the Folders name and click on .

5.5 Deactivate the Staff

You can make your staff's status active or inactive depending upon their status for e.g. You might want to deactivate the staff, if any staffs go on long service leave.
To deactivate the staff, follow the instructions below:
5.5.1Once you have logged in to RTOmanager,
Click Staff as shown in figure 5.5a. By default list of all staff appears as shown in figure 5.5a

5.3.2Find the staff whose status you want to deactivate in figure 5.5a. Click icon, a pop up message box appears on the screen as shown in figure 5.5b to confirm the deactivation.

5.3.3Click to delete the staff or click to deactivate staff for a temporary period. The staff will be deactivated and you will receive a message of confirmation as shown in figure 5.5c.

Please note that permanently deleting the staff will delete the staff's detail from the system where as disabling the staff is only temporary. To activate the staff again you just need to reverse the process. Find the staff you want to activate and follow steps 5.3.2 to 5.3.3 to activate.

5.6 View/Add Staff Communication Log

From this menu you can record any comments/notes in regards to your staff.
To do this, follow the instructions below:
5.6.1 Once you have logged in to RTOmanager-local,
Click Staff as shown in figure 5.6a. By default list of all staff appears as shown in figure below:

5.6.2 Click in figure 5.6a. You will go to the new pop up window as shown in figure 5.6b.

5.6.3 Enter/supply all the necessary details in figure 5.6b. Figure 5.6b should now appear as shown in figure 5.6c.

5.6.4Once you are done and satisfied, click .
Recently added communication log will appear in the list as shown in figure 5.6d.

Tip: If you would like to specify your own 'Type' and 'Status' simply choose '—Add New—' from the drop down menu and enter in your new Value.
