RTOManager VET Enrol and Pay Online User Guide

To begin using the 'Enrol and Pay Online' you will need to make sure you firstly enable/publish this feature for any particular 'Course' & 'Course Structure' you would like to appear in this section.
We will explain below on how to enable/publish this option.
20.1 Log into RTOManager-Local with your username and password as shown below in figure 1.

20.2 Once you have logged into RTOManager-Local you should arrive at the home page screen as seen below in figure 2.

20.3 Now you will need to click on tab from the menus CoursesCourse Offer Intake,
Your page should now look like the one below in figure 3.

20.4 You will arrive at the 'Search Course Offer Intake' page, as you can see above in figure 3 there are some course offer intakes setup, to setup a new one simply click on this icon as indicated by the red arrow shown above in figure 3.

20.5 Simply enter all the related information for this course offer intake, the important part to be able to enable this course offer intake in the 'Enrol & Pay Online' you will need to select YES as highlighted by the red box above in figure 4. Then simply click on this icon 'Record Now' as shown above by the red arrow in figure 4 to record this course offer intake. You will see a pop up window which displays you have successfully added a course offer intake as seen below in figure 5.

Please note: When setting up new course offer intake "as we did above" remember to setup the "Course Structure", you can check out our Online "Help" User Manual Guide regarding this.
Tip: If you have already setup a 'Course Offer Intake' you does not need to create a new 'Course Offer Intake' you just simply need to edit the existing offer intake and enable the 'Enrol & Pay Online' option. To do this please follows the instructions below;
20.6 Simply go to the CoursesCourse Offer Intake section as shown below in figure 6.

20.7 Now click on this icon as indicated above in figure 6 by the red arrow, your page should now resemble like the following in figure 7.

20.8 Tick the checkbox for 'Publish in Enrol & Pay Online' as highlighted in red box above in figure 7. Then simply click on this icon to save changes.
Now you have setup or enabled the 'Enrol & Pay Online' Feature we will now discuss how to use this feature.
There are 2 ways you can access the 'Enrol & Pay Online' section.

  1. One way is a student can access this from the public portal of your RTOManager-Local by clicking on the 'Enrol and Pay Online' tab as seen below in figure 8.
  2. Another way is a staff can do the 'Enrol & Pay Online' for a particular student. Once they have logged into the RTOManager-Local system from the homepage they can click on this icon as shown below in figure 9.

20.9 Once you have accessed the 'Enrol & Pay Online' menu you will arrive at the 'Online Application Form' as seen below in figure 10

20.10 You can now search to see which courses are available for the students to apply to. You can use the 3 search fields 'Course Name' , 'Dates' & 'Venue/Location' or you can simply enter in the course in the 'Search Text' field. Then click on the Button. You will see all the related courses that are available for you to enrol online as shown below in figure 11.
Tip: You can also search using the 'Calendar' that is shown on the left hand side on the page. The day that is underlined means there is a course available to select. Simply click on it.

20.11 In this example we only have one course available online however there can be many more setup as mentioned above previously. To choose the courses to apply simply click on the button as indicated by the red arrow shown above in figure 11. Your button will now change to and you will also see a button as shown below in figure 12.

20.12 Click on the button and you will then arrive at the student details page as shown below in figure 13

20.13 Simply fill out all the relevant information such name, address, contact no, DOB etc etc. Once all information is entered simply click on the button as indicated by the red arrow shown above in figure 13.
Please Note: if you are or the student has already studied at your college before, they can simply click on the under 'Your Details' as indicated also by the red arrow above in figure 13. Your page will look like the following once you have clicked on as shown below in figure 14.

20.14 Enter in your 'Email Address' and 'DOB' then click on button as indicated by the red shown above in figure 14. All your information will be retrieved so you will not need to enter in your details again as shown below in figure 15.

20.15 Once you have clicked on the button you will arrive at the 'Other Information' page which basically allows you to enter/select information related to how well you speak English and previous education etc. etc. as shown below in figure 16.

20.16 Once you have selected/entered all the relevant information simply click on the button of the page as indicated by the red arrow as shown above in figure 16.








You will now arrive at the 'Review Information and Checkout' page as seen below in figure 17. This allows you to review your information before you apply and pay for your course, if you need to edit information or select a different course simply click on the button.
You have a few payment methods to choose from, simply select the payment method you would like to use.

20.17 Once you have paid for the course using your desired payment option you will arrive at the last page which basically mentions 'Thank you for your application' as shown below in figure 18.

You can also submit any related documents along with your online application by selecting 'Yes'
Your page will now look like the following in figure 19. You can upload to 5 documents by simply clicking on the button. Once files have been selected simply click on the button.

20.18 Once you uploaded the files you will see a 'Completed' message which indicates files have been uploaded successfully as seen below in figure 20. Lastly click on the button to finish using the 'Enrol & Pay Online'
