1.0 User Log In
To log in, follow the instruction below:
1.1 Enter the link of your RTOmanager software for e.g. https://yourcollege.rtomanagerlocal.com.au in the address bar of your browser and hit enter. You will be prompted to enter your username and password to validate that you are the genuine user of the system as shown in figure 1a below.
1.2 Enter your username and password as shown in figure 1a.

1.3 Click in figure 1a. You will go to the Home Page of RTOmanagerlocal system as shown in Figure 1b.
Please note that you are at the Employer Portal and your name will be displayed as shown in red circle in figure 1b. Please also note that your name will be displayed at the top right hand side of the home page as marked by red circle. News, Reminders and To Do List appears on the mid section of the home page as marked by red circles in figure 1b.

2.0 Home Page

Home page is the initial screen you see after you log in to the system where there are altogether 8 main tabs (menu) viz: Home, Profile, Student Apply, Your Student, Document, Evaluation, and Reports & Requests sequentially. From here you can navigate to any page by clicking on any menu. The icons on the left hand side shown within red circle represent their functionality and are accessible quickly as the user does not have to look for them inside the menu; they are referred to as the short cut menu.
On the top right hand side of the Home page as shown in Figure 2a, and above the menus, there are 2 icons viz: Logout and Help .
On the middle section of the page as shown within red circles are News, Reminder and To Do List available.
This is the initial page from where you will start working with our system that will ease your work and save your time.
3.0 Profile
From this menu you can edit and view your profile. To do this, follow the instructions below:
3.1Once you have logged in to RTOmanagerlocal, click Profile on the main menu in figure below. You will go to the Edit Account profile Information page as shown in figure 2.1b.
Note: You may also click Manage Profile directly as shown in figure below.

3.2 Edit/change any information as per your requirement by clicking icon for relevant section.
3.1 Changing Password
From this menu you can change your password by following the instructions below:
3.1 Once you have logged in to RTOmanagerlocal, click Profile>Change Password as shown in figure 3.1a. You will go to the Change Password page as shown in figure 2.2a.

3.2 Enter existing password, new password and confirm your new password in figure 3.1a. After input, figure 3.1a should now appear as shown in figure 3.1b.

3.3 Finally click in figure 3.1a. You will receive a password changed confirmation as shown in figure 3.1c.

3.4 Click in figure 3.1c. You will go to the home page. You should keep in mind that new password and confirm new password has to be the same.
3.5 Similarly, you can also reset security question & answer by entering your current password, question and security answer.
4.0 Student Apply
From this menu, you can view your employee/student who has applied to study at the college. To do this, follow the instructions below:
4.1 Once you have logged in to RTOmanagerlocal, click Student Apply as shown in figure 3.1a. By default list of all your employees who has applied will be displayed as shown in figure 4a.

4.2 To see further details of your employees, click as indicated by red circle in figure 4a. A new window appears as shown in figure 4b.

4.1 New Apply
From this menu you can apply new online application for your employees/student. To do this, follow the instructions below:
- Once you have logged in to RTOmanager local, click Student Apply>New Apply. You will go to the page as shown in figure 4.1a.

Note: link in figure 4.1a will help you to continue with the application in case if you exit from RTOmanager local in the middle of the application. You need to make sure that you have saved your application before you exit.
- To make a new application, click in figure 4.1a. You will go to Step1 of Online application page as shown in figure 4.1b.

Note: Please note that the application reference ID: 1334520165 in figure 4.1b is the reference number given to your application which you need this later if you exit in the middle of the application and again want to continue at your convenience.
- Select student type for e.g. whether Australian Citizen, Permanent Resident or others as shown in figure 4.1b.
- In the Personal Information section figure 4.1b, enter all the relevant information of the student.
- In the Contact Details section in figure 4.1b, enter all contact details as shown in figure 4.1b.
- Click !worddavf002fe939bbc8a17964cfac49f1733c9.png|height=23,width=88!to go to step 2 of the application process. You will go to the page as shown in figure 4.1c.
Note: You can also click in figure 4.1b to save and discontinue the current application. It will give you a unique application ID which you can log in and continue with the same application later.

- In Language & Cultural Diversity section as shown in figure 4.1c, enter/select all relevant information for the student.
- In Education section enter schooling information of the student.
- Similarly in Further Education, Employment and Disability section enter all the relevant details as shown in figure 4.1c.
- Once you are done, click in figure 4.1c. You will go to step 3 of application process as shown in figure 4.1d.

- Supply all Enrolment Details of the student as shown in figure 4.1d.
Note: Please keep in mind that all the available courses must be linked with Study Type for e.g. Distance, Public and Corporate before you start making application otherwise the preferred start date for the course selected will not appear in the drop down menu.
- Finally click in figure 4.1d to add the course. You will receive a pop up confirmation in green reading Course has been added successfully as shown in figure 4.1e.

- Click icon to exit from the pop up message in figure 4.1e. Your recently added course will be visible in the list as shown in figure 4.1f. Similarly you may add more than one course for the student in case if the student prefers doing packaged course.

Note: To delete the course added, just click icon in figure 4.1f.
- Finally, click in figure 4.1f to move on to the Application Preview page as shown in figure 4.1g.

- You can edit each section (personal information, schooling, enrolment details etc) in figure 4.1g by clicking icon indicated by red circle in figure 4.1g.
- Click if you think all the information that you have entered is correct. You will go to the final step of application as shown in figure 4.1h.

- Select the scanned documents to upload as shown in figure 4.1h.
- Finally click in figure 4.1h. You will go to the thank you page as shown in figure 4.1i.

You will receive a friendly message saying your application has been lodged successfully offer Reference no is also displayed as shown in figure 4.1i.
4.2 Bulk Apply
It is similar to section 4.1 New apply, however, from this menu you can make more than one application provided all the students of interest are studying the same course. Once you have applied you can then go to an individual application and add/edit rest of the details. To do this, follow the instructions below:
4.2.1Once you have logged in to RTOmanager local, click Student Apply>Bulk Apply. You will go to the page as shown in figure 4.2a.

4.2.2 Supply all the relevant information for the students as shown in figure 4.2a. Do not get confused when entering values for the fields like country of birth, language spoken, etc because you can later on go to individual application and add/edit accordingly. Once you have supplied the entire information click in figure 4.2a. You will go to the page as shown in figure 4.2b.

5.0 Your Student
From this menu you can view employee/students under your company studying in the college. You can also view the progress they have made in their studies and their study timetable. To do this, follow the instructions below:
5.1 View Student Profile
To view student's profile, follow the instructions below:
5.1.1Once you have logged in to RTOmanager, click Your Student as shown in figure below. By default list of all your employees will be displayed as shown in figure 5.1a.

5.1.2 Click icon as indicated by red circle in figure 5.1a. A new window opens up to show the details of your employee as shown in figure 5.1b.

5.1.3 Click icon in figure 5.1b to exit from the above window.
5.2 View/Progress/Timetables/Attendance
From this menu you can view study progress and timetable of your employee. To do this, follow the instructions below:
5.2.1 Once you have logged in to RTOmanager, click Your Student as shown in figure below. By default list of all your employees will be displayed as shown in figure 5.2a.

5.2.2 Enter Click icon as indicated by red circle in figure 5.2a. A new window opens up to show the details of your employee as shown in figure 5.2b.

5.2.3 In figure 5.2b, observe that the student do not have any marks or assessment yet, which means there is no result for the student.
5.2.4To view student's timetable click icon in figure 5.2b. Student's timetable information will be displayed as shown in figure 5.2c.

5.2.5 Similarly, to view student's attendance click icon in figure 5.2c. If the student has any attendance, then his attendance will be displayed as shown in figure 5.2d.

Note: In figure 5.2d, there is no attendance of student marked yet.
6.0 Documents
From this menu you can download and view RTOs document published by the RTO as long as you are given have access to it. To do this, follow the instructions below:
6.1 Once you have logged in to RTOmanagerlocal, click Documents as shown in figure 6a. By default list of all available directories and files will be displayed as shown in figure 6a.

6.2The documents you are looking for are arranged in the folders (directories) as shown in figure 6a. You just need to click on the folder and look for your document of interest.
Alternatively you can directly specify folder/file name in search criteria in figure 6a and find your document of interest directly.
7.0 Evaluation
From this menu, employers can submit their evaluation online. This can be done as described in procedure below:
7.1 Once you have logged in to RTOmanagerlocal, click Evaluation as in figure below. You will go to the Submit/Survey Evaluation page as shown in figure 2.3a.

2.3.2 Select the relevant year, Survey/Evaluation, Course Offer Intake type from the drop down menu in figure 2.3a. If there is any Survey/Evaluation activated, figure 2.3a should now appear as shown in figure 2.3b.

2.3.3 Click/tick the radio buttons/check boxes at the right for all the questions of the survey as shown in figure 2.3b.
2.3.4 Once you are done (have ticked/selected all the answers) click . Survey will be submitted and you'll receive a message in green as shown in figure 2.3c.

7.0 Reports
From this menu you can generate reports regarding your client's information. To do this, follow the instructions below:
7.1 Once you have logged in to RTOmanager Local, click Reports on the main menu as shown in figure 7.1a below>

7.1 Select your desired report from the menu as shown in figure 7.1a. Your report will be displayed as shown in figure 7.1b.

Note: You can also click icon in figure 7.1b to export the report in Excel. Similarly you can generate other reports as well.
8.0 Requests
From this menu you can send any requests or message to the RTO regarding your concern. To do this, follow the instructions below:
8.1 Once you have logged in to RTOmanager Local, click Requests on the main menu as shown in figure 8a. You will go to the page as shown in figure below.

8.2 Type the subject of your email for e.g. New Fees Schedule as shown in figure 8a.
8.3 Type the main body (content) of your main as shown in figure 8a.
8.4 Once you are done, click . Friendly confirmation message in green will be displayed as shown in figure 8b.
