Email, SMS Template Management

This section will allow setting up the Email and/or SMS template to be used in the system.
Go to
Reports >> Add/Edit Email Template.
You need to have 'SAdmin' role to add or modify an email template.
Choose the Sadmin role from the role selection.

There are three types of template available.

  • Predefined Template
    • This type of template name is restricted and cannot be modified. This template is created by RTOmanager system while setup, but user can modify content and email subject.
  • Email Template
    • User can create this type of template. Set the recipient, email subject and email content. Recipients are: Participant, Employer, and Staff.
  • SMS Template
    • User can create. It can be set for different recipients as well.

13.1 Predefined Template

This template is used while auto email is sending to different user e.g. online application submission, user forgot password, a new user account is created etc. User can modify the content but cannot delete the template. To modify, click on the icon under action menu.

At the bottom of the page, a new editor will open for the selected template.

Parameters: Different parameters can be used predefined template. These parameters will be replaced by the value automatically while sending the email to the user.
Save Template: Once content is modified, click on the save icon.
Reserved character: There are some reserved symbols for email template. These are {,}. If template contains these symbols, email will not be sent.


13.2 Email Template

Click on 'New Template' to add an email template.

A new text editor will open.

Email Subject: Specify the subject. This will be the subject while sending the email to the user.
Template Name: This will identify the template. Template name cannot be duplicated.
Recipient: Select the appropriate recipient. Depending on the recipient, template will be available e.g. if you are sending email to employer, the templates those are created for participant won't be available.
Parameters: No parameter is available for this type of template.
Once content is edited, click on the save icon to save the template.

Email template can be set of active or inactive. To active, mark the checkbox and click on to set active or inactive.

Once email template is setup they will be available to selection on various sections of RTOmanager-local. For e.g. Mailing List, Send Email after approval of offer or from auto-email section while going through the application etc.

13.3 SMS Template

It is similar to creating email template. But SMS template doesn't contain subject.

Steps:

  • Enter template name.
  • Select appropriate recipient
  • Enter SMS content.
  • Click on 'Save Template'.

SMS template can be set of active or inactive. To active, mark the checkbox and click on to set active or inactive.

Once SMS template is setup they will be available to selection on various section of RTOmanager-local. For e.g. SMS Notification, Sends MS from Participant profile page etc.
