Application and Enrolment Management

You can enrol students from this menu online by following the instructions below:

8.1 Online Application

RTOmanager-local system allows participant to apply online using the public portal. Also, RTOMANAGER-LOCAL student services role staff can apply online for the student in scenario when the paper application form has been filled by the student.
Both sections have the similar interface and steps of application.
Follow below steps to apply online

  • To start new application,

Click 'Enrol >> Enrol Online by Admin' link from top menu tab as shown below in figure 8.1a

  • There're 2 options here. You can start new application by clicking the link or continue a saved online application as shown above in figure 8.1a. If continue a saved online application is selected, then you are required to enter the application reference id as shown below in figure 8.1b

Please follow below steps to start new application.

Step 1

After clicking the first link you will be taken to the following section i.e. Step 1 of application process. A unique Application reference ID will be generated which can be used to resume the application if you decide to complete later as shown marked in red box below in figure 8.1c.

The step 1 requires applicant basic information to be entered in the system and applicant address details. The mandatory fields are highlighted on the page.
If the applicant can have multiple addresses, then it can be entered by selecting the appropriate checkbox to add additional address.
Once step 1 is complete then you can click to go to the next step, or click to save this application to the system and exit application process.

Step 2

On step 2, you will require to add language and cultural diversity information, and other information. You can also enter the disability information regarding the applicant as shown below in figure 8.1d

In step 2, you can add the applicant's education and employment history, secondary school education etc.
Once Step 2 is complete then you can go to Step 3 by clicking to go to step 3. You can go back to previous steps by simply clicking on .



















Step 3

On Step 3, you can select the course, Study Type (Distance, Public, and Corporate), select intake year and intake date, course fee etc. as shown below in figure 8.1e.

Once information is entered, then you can click button to add the course for the applicant. You will receive a pop window with confirmation saying course added successfully as seen below in figure 8.1f

Your added course will appear under the 'Courses Applied' section in step 3 as shown below in figure 8.1g

You can delete applied courses by simply clicking on the icon as shown above in figure 8.1g
Tip: You can add more than one course by simply selecting another course from the drop down menu in step 3 and clicking on .
Then you can click button to go to Application Preview Page.

You can edit any relevant section by clicking the Edit icon as indicated by red arrows shown above in figure 8.1h, which will take to the relevant page.
If all the information entered is correct then you can click to proceed further. This will then take you to the file upload page as follow:

You can upload applicants file on this page by simply selecting 'Choose File', select the files from the computer and once selected click to submit the application. Once submitted, the system will display the Thank you message as follow:

In above step the system will generate a unique Offer id that replaces the application reference id used earlier.

8.2 Manage Enrolment

You can manage enrolment from this menu. To do this follows the instructions below:

8.2.1 Manage Application

Once the application is submitted, you can then process the completed application using the Manage Enrolment menu.
To access this section,
you can click *Enrol  Manage Enrolment* menu which will bring the following page as shown below in figure 8.2.1a

Here you can view the submitted application based on available search criteria. For example the default selection is Course Offer Intake. However we have selected Search by 'Course' then select the Course. By clicking the Search button we can view the applicant information as below in figure 8.2.1b

Based on the application status the following tools and icons are available based on the status as following:

'Submitted' and 'Reconsider' status:

  • Preview offer letter
  • View/Edit the application information
  • Approve offer letter: this will change status to 'Approved'
  • Change status to pending: this will change status to 'Pending'

'Approved' status:

  • Download admission letter
  • View/Edit the application information
  • Reapprove application
  • Generate Student ID: this will transfer offer to actual student. (From 'Enrol' tab to 'Participant' tab)
  • Pending the offer: this will change status to 'Pending'

'Pending' status:

  • Reconsider the offer application: this will change status to 'Reconsider'
  • View/Edit the application information
  • Reject the offer application: this will change status to 'Rejected'

Rejected' status:

  • Reconsider the offer application: this will change status to 'Reconsider'
  • View/Edit the application information
  • Delete the application: this will permanently delete the data from the system.


8.2.2 Preview the Offer Letter before Approval

Clicking the following icon as shown below in figure 8.2.2a will allow you to preview the offer letter before actually approving it. So if changes need to be done, you can edit/update the changes before approving, hence why this option 'Preview the offer letter before approval' is very useful.

A new window will open up showing what the offer letter will look like once you approve as shown below in figure 8.2.2b.

8.2.3 View/Edit the application

Clicking the following icon as shown below in figure 8.2.3a will allow you to view the Student profile information and allow you to edit the student and course related information.

  • Applicant profile & address: this is the same as step 1 & 2 in online application
  • Previous Education Qualification Achieved & Employment History: this is the same as step 2 in online application
  • Enrolment details: this is the same as step 3 in online application

Once you have clicked on the icon, a window will open up like the one seen below in figure 8.2.3b, you can edit information by simply clicking on the icon as indicated by the red arrows as seen below in figure 8.2.3b.

In this section, you can also access the applicants file folder by clicking 'Document' icon as marked by red box shown above in figure 8.2.3b. Your page should now look like the one below in figure 8.2.3c

From 'Document' section you are able to see the application and any other related information; you can also upload documents/files to this applicant by simply clicking on the 'Choose File' then select the file then click 'Upload'.
You can edit/delete files by simply clicking on these icons
Tip: Once you convert this applicant to a Student/Participant, there 'Document' folder will remain with this student and the files.
Also, you can add another course to this applicant by click 'Add' icon as shown above in figure 8.2.3c, if the student is keen to continue another course once the selected course is completed or study another course. Keep in mind that the purpose of add multiple course to applicant is to combine all course applied into one offer letter. Your page should look like the one below in figure 8.2.3d

8.2.4 Approve application and generate student ID

This icon allows you to approve the application which will then flag the application as Approved and will also make it ready for converting to the Student or Participant section. Once you approve the offer letter a window will automatically open up which allows you to email the admission letter or orientation package information to the student once the application is approved as seen below in figure 8.2.4a

Application status is now changed to Approved, and also the additional icon are visible here to download the admissions letter and to Generate Student ID as marked by red box shown below in figure 8.2.4b

With 'Approved' status user can convert the approved applicant to Student. This action will tell the system to transfer all the data of this applicant from 'Enrol' to 'Participant' tab. This means you ensure that this applicant formally enrolled in the college.
When generate ID icon is clicked the system will show the next available student id based on the initial set up done and also gives and option to flag for AVETMISS report. You can also override the suggested student id by manually entering student id. Once student id is specified click then the system will transfer this application to formal Student/Participant.
Refer below in figure 8.2.4c

You will see a green confirmation message like the one shown below in figure 8.2.4d. The applicant will no longer appear in the 'Enrol' section or list they will now be under the 'Participant' tab.

Tip: If you have more than one applicant e.g. 10 applicants. You can simply approve their offer letter by bulk, simply select the applicants by ticking on the checkbox next to the applicants offer ID then click on the icon as shown below in figure 8.2.4e

Similarly, you can create student id by bulk as well, simply tick the checkbox for the applicants next to their offer id then click on this icon as shown below in figure 8.2.4f

Also you can send emails to applicant by bulk, simply tick the checkboxes next to the applicants offer id then click on this icon as seen below in figure 8.2.4g.

This icon as shown above in figure 8.2.4g allows you to send bulk emails to applicants that are 'Unapproved', simply follow the exact procedures as above when sending bulk emails but however you only select the 'Unapproved' applicants instead.
