Trainers Management

From this menu you can manage trainer's profile, view existing trainer list, add new trainer, delete existing trainer, view trainer's timetable etc.
To understand these, follow the steps below:
16.1 Manage Trainer
From this menu you can manage your teacher's information.
16.1.1 View/Edit Trainer
16.1.1.1 Once you have logged in to RTOmanager local, click Trainer on the main menu as shown in figure 16.1.1a. By default list of all active existing trainers will appear as shown in figure 16.1.1a.

16.1.1.2 To edit/view any teacher's profile just click indicated by red circle in figure 16.1.1a. You will go to the page as shown in figure 16.1.1b.
Note: To view/edit profile in new window click else click .

16.1.1.3 Click in figure 16.1.1b to Edit/change any information. You will go to the Update Teacher/Trainer Profile page as in figure 16.1.1c.

16.1.1.4 Edit/change any teacher's information as per your requirement and click to save the changes.
16.1.2 View Trainer's Timetable
From this menu you can view trainer's timetable as per your specified criteria.
To do this, follow the steps below:
16.1.2.1 Once you have logged in to RTOmanager local,
Click Trainer on the main menu as shown in figure 16.1.2a. By default list of all active existing trainers will appear as shown in figure 16.1.2a.
Note: you can also find your specific teacher by specifying your criteria as indicated by blue circle in figure 16.1.2a.

16.1.2.2 Click icon indicated by red circle in figure 16.1.2a. You will go to the page as shown in figure 16.1.2b

16.1.2.3 Click icon in figure 16.1.2b for your relevant trainer. Available timetable of Johny Smith will be displayed in a new window as shown in figure 16.1.2c.

16.1.4 Delete Trainer
To delete a teacher, follow the steps below:
16.1.4.1 Once you have logged in to RTOmanager local, click Trainer on the main menu as shown in figure 16.1.4a. By default list of all active existing trainers will appear as shown in figure 16.1.4a.
Note: you can also find your specific teacher by specifying your criteria as indicated by red circle in figure 16.1.4a.

16.1.4.2 To delete a Trainer, click icon for the relevant trainer (for e.g. Brad Burman) as shown in figure 16.1.4a. A dialogue box appear to confirm the deletion as shown in figure 16.1.4b

16.1.4.3 Click OK to delete or Cancel to cancel the deletion.
16.1.5 Trainer's Diary
From this menu you can maintain trainer's/teacher's diary to record various information which might be useful to you for future reference.
To do this, follow the instructions below:
16.1.5.1 Once you have logged in to RTOmanager local, click Trainer on the main menu as shown in figure 16.1.5a. By default list of all active existing trainers will appear as shown in figure 16.1.5a.

16.1.5.2 Click icon indicated by red circle in figure 16.1.5a. You will go to the page as shown in figure 16.1.5b.

16.1.5.3 Click icon in trainer's profile as shown in figure 16.1.5b. You will go to the staff communication log (Diary) page as shown in figure 16.1.5c.

16.1.5.4 Type all the details for the details that you would like to record and click as shown in figure 16.1.5c. Recently added record will be visible in the list as shown in figure 16.1.5d.

Note: To make the log visible or not visible simply click on the 'Flag' icon under action as highlighted above in figure 16.1.5d.
16.1.6 Email
From this menu, you will be able to send direct emails to the teachers. To do this, follow the instructions below:
16.1.6.1 Once you have logged in to RTOmanager local, click Trainer on the main menu as shown in figure 16.1.6a. By default list of all active existing trainers will appear as shown in figure 16.1.6a.

16.1.6.2 Click icon indicated by red circle in figure 16.1.6a. You will go to the page as shown in figure 16.1.6b.

16.1.6.3 Click icon in trainer's profile as shown in figure 16.1.6b. You will go to the Send Email To the Trainer page as shown in figure 16.1.6c.

16.1.6.4 You can also choose whether to have this email added to the 'Communication Log (Diary)', simply tick the checkbox as shown above in figure 16.1.6c or untick if you wish not to include this email in the 'Communication Log (Diary)'
16.1.6.5 Once done, click icon in figure 16.1.6c. Your email will be directed to the trainer.
16.1.7 Trainer Document Management
From this menu you can manage all the documents related with your trainer.
To do this, follow the instructions below:
16.1.7.1 Once you have logged in to RTOmanager local,
Click Trainer on the main menu as shown in figure 16.1.7a. By default list of all active existing trainers will appear as shown in figure 16.1.7a.

16.1.7.2 Click icon indicated by red circle in figure 16.1.7a. You will go to the page as shown in figure 16.1.7b.

16.1.7.3 Click icon in figure 16.1.7b. You will go to the Staff Document Upload page as shown in figure 16.1.7c.

16.1.7.4 Select the document you want to upload for the trainer as shown in figure 16.1.7c and click . Recently uploaded document will be uploaded and visible as shown in figure 16.1.7d.

Note: You can edit the document name or delete the document by clicking or respectively.
16.1.8SMS
From this menu, you will be able to send direct SMS to the teachers.
To do this, follow the instructions below:
16.1.8.1 Once you have logged in to RTOmanager local,
Click Trainer on the main menu as shown in figure 16.1.6a. By default list of all active existing trainers will appear as shown in figure 16.1.8a.

16.1.8.2 Click icon indicated by red circle in figure 16.1.8a. You will go to the page as shown in figure 16.1.8b.

16.1.8.3 Click icon in trainer's profile as shown in figure 16.1.8b. You will go to the Send SMS to Trainer page as shown in figure 16.1.8c.

16.1.8.4 Type in the SMS you wish to send then simply click on the button.
Note: Before you can go ahead and send an SMS make sure you setup this feature with a valid SMS account from the 4.1 RTOmanager Setup section
16.2 Trainer Matrix
From this menu you can create trainer's information list which will tell you about the trainer's qualification, which course and subject he is supposed to teach, his knowledge level of the course/subject etc.
To create Trainer Matrix, follow the steps below:
- Once you have logged in to RTOmanager local,
Click Trainer on the main menu as shown in figure 16.2a. By default list of all active existing trainers will appear as shown in figure 16.1.1a.

- Click icon indicated by red circle in figure 16.2a. You will go to Trainer Profile Summary Home page as shown in figure 16.2b.

- Click icon in figure 16.2a. You will go to the Teacher/Trainer Matrix page as shown in figure 16.2c.
16.2c
- Select the course, module and knowledge level and click as shown in figure 16.2 to add the teacher's information.

- Finally click in figure 16.2b. Recently teacher matrix will appear in the list as shown in figure 16.2c.

16.2.7To delete the teacher matrix just click icon in figure 16.2b.
16.3 Add New Trainer
From this menu, you can add/create new trainer for your RTO/institute.
To create new trainer, follow the steps below:
- Once you have logged in to RTOmanager local,
Click Trainer>Add Trainer as in figure 16.3a. You will go to the page as shown in figure 16.3a.

- Enter all the personal information of the trainer in personal information section, Employment information in Employment Information section and user account details in User Account Information section in figure 16.3a. After entering the information figure 16.3a should now appear as shown in figure 16.3b.

Note: In figure 16.3b, username and password is required for the trainer to log in to the system.
- Finally, click . Your trainer will be added in the system. To view recently added trainer follow steps in section 16.1.1 View/Edit Trainer.
16.4 Manage Timesheet
From this menu you can view & approve timesheets submitted by trainers, assign supervisors and generate pay period for trainers.
To do this, follow the steps below:
16.4.1 View/Approve Timesheets
16.4.1.1 Once you have logged in to RTOmanager local,
Click Trainer>Manage Timesheet. You will go to the page as shown in figure 16.4.1a.

16.4.1.2 Select Activity Type, financial year, pay period and trainer from the drop down menu in figure 16.4.1a. After selection, figure 16.4.1a should now appear as shown in figure 16.4.1b.

Note: Class timesheet is normal number of hours that trainers have worked in the classroom as their regular work whereas Extra timesheet activity refers to extra time worked by the teachers like exam marking, exam supervision, student consultation, meetings, excursions which are not part of their regular timesheets.
16.4.1.3 Finally, click in figure 16.4.1b. You will go to the page as shown in figure 16.4.1b.

Note2: Please note that the timesheets with green flags indicates approved timesheet and the orange flags indicate unapproved timesheets in figure 16.4.1b.
16.4.1.4 Select the timesheet which you want to approve by ticking the check box as shown in figure 16.4.1b. You can also select all the timesheet in a single click by clicking check all.
16.4.1.5 Click in figure 16.4.1b. The selected timesheet will be approved and will be visible in the approved timesheet list as shown in figure 16.4.1c.
Note 3: You can also delete or edit timesheet information by simply clicking on these icons as shown above in figure 16.4.1b

16.4.2 View Approved Timesheet
From this menu you can view all the approved timesheet of the trainers.
To do this, follow the steps below:
16.4.2.1 Once you have logged in to RTOmanager local,
Click Trainer>Manage Timesheet. By default you will go to the page as shown in figure 16.4.1b.

16.4.1.2 Click indicated by green circle. You will go to the page as shown in figure 16.4.1b.

16.4.1.3 Select trainer, financial year and pay period whose approved timesheet you want to view in figure 16.4.1b. After selection, figure 16.4.1b should now appear as shown in figure 16.4.1c.

16.4.1.4 To view details of timesheet (5.75hours) click icon in figure 16.4.cb. Lists of all approved timesheets will be displayed as shown in figure 16.4.1d.

16.4.3 Assign Supervisor
You can assign supervisors to trainers from this menu. At times you need to assign somebody to supervise single trainer or group of trainer for various reasons.
To do this, follow the steps below:
16.4.3.1 Once you have logged in to RTOmanager local,
Click Trainer>Manage Timesheet. By default you will go to the page as shown in figure 16.4.3a.

16.4.3.2 Click indicated by green circle in figure 16.4.3a. You will go to the page as shown in figure 16.4.3b

16.4.3.3 Select Supervisor Not Assigned, Pay period type and supervisor (to assign) from the drop down menu and click . A message in green will confirm that the supervisor has been assigned successfully as shown in figure 16.4.3c.

16.4.4 Generate Pay Period
From this menu you can generate pay period for the trainers/staff which will later on be used with timesheets. Unless you generate pay period for the trainers, they will not be able to submit their timesheet for that pay period.
To do this, follow the steps below:
16.4.4.1 Once you have logged in to RTOmanager local,
Click Trainer>Manage Timesheet. By default you will go to the page as shown in figure 16.4.4a.

16.4.4.2 Click link indicated by green circle in figure 16.4.4a. You will go to the page as shown in figure16.4.4b.

16.4.4.3 Select pay period type, financial year, pay period frequency, start day and finish date in figure 16.4.4b and click . Pay period will be generated as shown in figure 16.4.4c.
