9.0 Timesheet
From this menu teachers can upload their timesheet (evidence of number of hours they have worked) which will be reviewed by DOS or someone in higher position in hierarchy and then be approved for the payment. To manage timesheet follow the instructions below:
9.1 Timesheet Submission
9.1.1 Once you have logged into RTOmanager, click Timesheet. You will go to the timesheet submission page as shown is figure 10.1a.

- Select appropriate Timesheet Period as shown in figure 9.1a.

9.1.3 Finally click in figure 9.1a. A list of possible timesheets for the above selected period appears as shown in figure 9.1b

- Select the timesheet you want to submit by ticking the check box as shown in figure 9.1b.
- You can also write comments about the timesheet figure 9.1b.
- Finally click in figure 9.1b. Recently submitted timesheet will appear in the list as shown in figure 9.1c.

- You can export the timesheet list by clicking button in figure 9.1c.
- Click in figure 9.1c. A pop up box appears for confirmation as shown in figure 9.1d. Click OK to submit or cancel to cancel the submission. A message in green appears confirming that the timesheet has been finally submitted successfully.

Please note that once you confirm the final submission, you will not be able to submit any more time sheets for this pay period. You can also delete the submitted timesheet by clicking icon in figure 9.1c.
9.2 Manual Timesheets
From this menu teachers can submit timesheets manually. This situation might arise when a teacher takes leave (becomes sick, goes on annual leave etc) and a relief teacher is assigned to conduct the class. In this case the relief teacher will have to submit his timesheet manually as instructed below:

- Once you have logged into RTOmanagerlocal, click Timesheet. You will go to the timesheet submission page as shown is figure 9.2a.

- Click in figure 9.2a. Manual timesheet submission window pops up on your screen as shown in figure 9.2b.

- Enter all the information about the class that you have attended as shown in figure 9.2b.
- Click in figure 9.2b. You will receive a confirmation message in green as shown in figure 9.2c.

- Now to submit the manually created timesheet, select individual timesheet by ticking the checkbox as indicated by red circle in figure 9.2c and click . Your selected timesheet will be submitted as shown in figure 9.2d.

9.2.6 Finally click to submit the timesheet finally. You cannot submit timesheet for the same pay period again.
9.3 Extra Activity Timesheet
From this menu, teachers can submit extra activity timesheets like exam marking, exam supervision, student consultation, meetings, excursions which are not part of their regular timesheets. To create and submit extra activity time sheet, follow the instructions below:

- Once you have logged into RTOmanagerlocal, click Timesheet>Extra Activity Timesheet as shown in figure 9.3a. You will go to Extra Activity Submission page as shown in figure 9.3b.

- Enter activity, start time, finish time, activity date and comments as shown in figure 9.3b and click .
- Your recently submitted Extra Activity Timesheet will appear in the list as shown in figure 9.3c.

9.4 View Timesheet
From this menu teachers can view all their submitted timesheets and also keep track of whether they have been approved or not for payment. To view timesheet, follow the instructions below:

- Once you have logged into RTOmanagerlocal, click Timesheet>View Timesheet as shown in figure 9.4a. You will go view timesheet progress page as shown in figure 9.4b.

- Select the type of timesheet you want to view for e.g. View Not Processed Timesheet as shown in figure 9.4b
- Select the pay period for the timesheet for e.g. June. 1-Jun 7, 2011 as shown in figure 9.4b.
- Finally click in figure 9.4b. List of all available timesheet will appear as shown in figure 9.4b.

Please note that the yellow flag in figure 9.4b indicates that the timesheets are submitted but not yet approved by the concerned authority.
9.5 Upload Invoice
From this menu teachers who are working on their own with ABN (Australian Business Number) will be able to upload their invoice for payment. The upload invoice will then be downloaded by admin staff, approved and further forwarded to account department for the final payment. To upload the invoice, follow the instructions below:

- Once you have logged into RTOmanagerlocal, click Timesheet>Upload Invoice. You will go to upload invoice page as shown in figure 9.5a.

- Click on folder under the Name to upload your invoice. You will go to the page as shown in figure 9.5b

- Click the link of your pay period available (Jun.1 – Jun 7, 2011in this case) for which you wish to upload the invoice. You will go to the page as shown in figure 9.5c

- Select the invoice (scanned copy or electronic file) from your computer by clicking Browse button as shown in figure 9.5c.
- Finally click . Your recently uploaded invoice will appear as shown in figure 9.5.d.

Once uploaded your invoice will be further approved by the concerned authority and forwarded for payment after approval.
