TCSI- Early Exit Awards
Introduction
As per TCSI guidelines, an early exit award packet is used to report a higher education award course completion for a student who has a course admission record with the provider but it is not for the course that has been completed. Each exit awards packet must be linked to an established course admission packet and an established course packet.
Providers may report an exit awards packet for each student who is to be granted a higher education award where the course leading to the award is related to, but does not exactly match, the course on the course admission record the provider has for the student.
More information about the Exit Awards Packet can be found at: https://www.tcsisupport.gov.au/reporting/hestudent/requirements/course-admission-shortcuts/exit-awards
You can now report a Nested or an Exit Award for the student using the Early Exit Awards Packet.
Pre-Requisites for reporting an exit/nested award to TCSI:
The Exit/Nested courses must be created in the system and linked to the respective courses.
The related course admission (primary (parent) course admission must be reported.
The Exit/Nested Course must be reported in the Course of Study and Course packets.
The TCSI code for Exit Course must be accurately set on the License Details Page. Exit Course status should be set to “6”.
The original or the primary course admission must be marked as “Exit Course” Status when an exit award needs to be reported for the student.
When reporting a nested course for the student, the original (primary) course admission remains with the status “Current Student”.
Setting the correct TCSI code on the License Details Page for Exit Course:
You will need to have the Sadmin access in the system to perform this action.
Setting an Exit course:
Go to Course tab and add a new course.
Select the course you would like to link the exit course to.
Click on the highlighted icon.
Select the Type as Exit Course.
Select the Course and click Add Course.
For example, course BMS has an exit course EXIT1 linked with it.
Reporting an Exit award for the student
Report the original course admission.
Report the Exit Award Course in the Course of Study and Course packets.
As we have linked EXIT1 as an exit course with BMS, we need to report the course EXIT1 in the course of study and course packets.
Assign the exit course to the student.
Go to Student >>Course
Click on the Gear icon to set the exit course.
Provide the exit course date and reason and click on Add Exit Course.
Change the primary course admission (BMS) status to “Exit Course”. (As the TCSI code is set for Exit Course Status to “6” on the License Details Page, code “6” will be reported to TCSI).
The exit course admission record for the student will appear in the TCSI reporting page under the submission type as “Early Exit Awards”.
Before reporting the Exit Course for the student, you will need to sync the update in the Course Admission record to update the Course Outcome Code to “6”.
Once the primary course admission packet is synced or updated to reflect the Course Outcome Code “6”, you can report the Early Exit Award related to the course.
Note- If the early exit award is sent to TCSI before updating the original course admission to “6”, the following error will appear for the exit award:
Click the Green tick button to send the record to TCSI and the record will be posted:
Setting a Nested Course
Go to Course tab and add a new course.
Select the course you would like to link the nested course to.
Click on the highlighted icon.
Select the Type as Nested Course.
Select the Course and click Add Course.
Reporting a Nested award for the student
Report the original course admission.
Report the Nested Award Course in the Course of Study and Course packets.
As we have linked N100 as a Nested course with BMS, we need to report the course N100 in the course of study and course packets.
Assign the exit course to the student.
Go to Student >>Course
Click on the blue tag icon to set the Nested course.
Click on Add Nested Course to bring up the details.
Provide the details and add the nested course to the primary course admission.
The nested course for the student can now be reported on the TCSI reporting page under the submission type “Early Exit Awards”.
Click the green tick button to post the record to TCSI.
Note- The status for the primary course admission record does not change when a nested course is assigned. This means that the student can continue in the primary course as required.
