Meshed PRISMS API Integration

The Meshed Platform's integration with the Provider Registration and International Student Management System (PRISMS) through an API revolutionizes the management of international students’ Confirmation of Enrolment (CoE). This integration ensures streamlined operations, regulatory compliance, and a seamless experience for education providers and students alike.

 

Key Features

  1. Find or Create Applicant Records in PRISMS

  • Allows searching for or creating applicant records in PRISMS prior to CoE generation.

  • PRISMS returns a unique student ID or reference number upon successful record creation for subsequent CoE processes.

  1. Real-Time Data Mapping

  • Facilitates automatic mapping of agent, venue, and OSHC provider details between Meshed and PRISMS.

  • Ensures accurate and efficient CoE management by aligning Meshed OSHC provider data with PRISMS’ approved provider list.

  • Supports unique ID generation for each record, with options for individual or bulk data mapping.

  1. Initial Prepaid Fee Data

  • Introduces fields in the student/offer section for recording initial prepaid tuition and non-tuition fees for both onshore and offshore applicants.

  1. Welfare Arrangement for Under-18 Applicants

  • Captures welfare arrangement details required for applicants under 18.

  • Supports providers in specifying whether they take responsibility for the student’s welfare or document alternate arrangements in Meshed.

  1. Comprehensive CoE Management

  • Create CoE: Automates CoE creation with all required data (student details, course enrolment, agent, OSHC, welfare, and English language proficiency) seamlessly pulled from Meshed. CoE records are automatically saved with a unique CoE number.

  • Download CoE Certificate: Users can download and save CoE certificates, which are securely stored within the Meshed system (Offer/Student document directory).

  • View and Retrieve CoE Status: Enables real-time updates of CoE status from PRISMS directly within the Meshed system.

  • Cancel CoE: Simplifies CoE cancellation using Student Course Variations (SCVs) to record course changes or terminate enrolments.

 

Benefits

This API-driven integration reduces manual tasks, ensures compliance with regulatory standards, and improves efficiency in managing CoEs for international students.

 

License Details

On the License Details page, which is accessible exclusively to SAdmin users, a new feature has been introduced, allowing users to configure the session timeout independently. This eliminates the need to contact Meshed Group Support for updates.

The feature is located under the Application Configuration section, where users can select from various predefined durations: 15 minutes, 30 minutes, 45 minutes, 1 hour, 2 hours, and 4 hours.

For existing sites with customized session timeouts, the current settings will remain unchanged as “special configuration,” except for those with session timeouts set to less than 15 minutes. In such cases, the session timeout will automatically be adjusted to the minimum allowable duration of 15 minutes.

Guardianship/ Emergency Contact

The system has been updated to enhance the handling of offer and student emergency/guardian details. The following changes have been implemented:

  1. First Name and Last Name fields have been separated.

  1. Address fields have been extended to include Flat/Unit, Suburb, State, and Postcode as separate entries.

  1. A Mobile field has been added.

  1. A Work Phone field has been added.

  1. A Language(s) Spoken field has been added.

  1. A Notes field has been added.

  1. A Primary Contact flag has been introduced.

These changes are reflected in the following areas:

  1. Online Application (Public, Staff, and Agent Portals)

  1. Offer Edit

  1. Student Profile Edit (Staff and Student Portals)

Reports Updates

A new report, View Student Emergency/Guardian Extended Contact Details by Course and Status, has been introduced under the Student Services category. This report includes the newly added fields and displays all existing student contact details for old records. For new records, only contacts marked as Primary Contacts will be included.

 

The existing report, View Student Emergency Contact Details by Course and Status, remains unchanged and will exclude student emergency contact records with the new extended format.

Provider Type Flag

On Meshed Higher-Ed platforms, a new “Public Provider” checkbox will be available under the Admin and Configuration section for the College information setup page. The checkbox is introduced so that the Higher Ed Providers can identify themselves as Public or Private Higher Education Provider. If the checkbox is unticked, the system will recognise the provider as a Private Higher Education provider however, once the checkbox is ticked, the provider will be recorded as a Public Higher Education Provider in the system.
